HubSpot has made strong progress in centralising communication, but email organisation still lags behind. Many teams continue to rely on tools like Front because HubSpot lacks the structure needed to properly manage shared inboxes and historical communication at scale.   Key gaps: No native folder structure for organising important emails Limited filtering and view creation for email records Difficult to track emails by sender, tags, or CRM properties Heavy reliance on external inbox tools for proper management Proposed solution(s): Introduce Inbox folders for categorising emails (internal, partners, escalations, etc.) Expand filters to include; Sender / domain Tags Associated object properties (contacts, companies, deals, tickets) Enable shared, saveable views for team collaboration This is about unlocking the value of email data. High-quality CRM data needs to be accessible and usable across the platform, and while HubSpot is improving centralised email management, this is the next logical step. Year-Based Discounting for Multi-Year Contracts Our standard sales motion includes multi-year agreements (typically 36 months) with different pricing or discounts applied by year (e.g., discounted Year 1, standard Years 2–3). Currently, HubSpot does not support applying discounts by year within a single subscription. Attempting to model this with multiple line items breaks ACV calculations and causes ACV to match TCV, which impacts reporting and forecasting. What we need: Ability to define pricing or discounts by year within a single multi-year subscription Maintain accurate ACV vs. TCV calculations regardless of structure ⸻ 2. Flexible Contract Terms We occasionally have non-standard contract terms (e.g., 40-month agreements), but HubSpot only supports clean 12/24/36 month structures in a way that ties correctly to reporting. What we need: Support for flexible term lengths beyond standard yearly increments Accurate prorating and reporting across custom term durations ⸻ 3. Minimum/Base Fee Logic within Tiered Pricing Our pricing model includes a minimum annual fee below a certain threshold, which cannot be natively enforced within HubSpot’s tiered pricing model. Sales Workspace was a good idea until the relaunch came along...... Unfortunately, the “Start All” button is no longer available in the Leads tab. That was a great way to filter leads and then work through them in a well-organized manner. Now that view is missing. You can still filter leads, but the preview of each lead is too small and confusing. You end up wasting time because you can no longer see which lead you’re actually working on. The new Tasks tab has been introduced, but we don’t yet work with tasks at the lead level. It makes sense later in Deals, but not at the lead level. Use case: I need to monitor and report on meetings booked as a result of enrolling contacts into sequences. We use sequences as part of our 1:1 sales outreach program and we need to determine ROI, as well as individual sequence performance. I combine meetings booked with opportunity created and closed data for high-level metrics.   Reconciling sales results can be a manual process between HubSpot and other CRMs and I need an easy to work with and sharable table of data that includes contacts' information, not just aggregated stats. I would also like to easily use this contact data in campaigns. While I can generate graphic reports and view stats and some contact details on sequence Performance and Analyze tabs, these have critical limitations that would be solved by also being able to replicate and generate this data in text-based segments and contact views. Challenge: In sequences and contact views, I'm unable to replicate the list of contacts that have booked a meeting through a sequence link, and/or booked a meeting through another means (ex., manually in the HubSpot CRM or synced from a connected calendar) within 7 days of being enrolled in a sequence. Currently, this aggregate information in a text-based format is only available via Sequences --> Analyze tab --> Meeting Rate. Clicking on the hyperlinked percentage pops up a list named 'Scheduled meeting' that includes: Contact enrolled Company Sequence Status (enrollment status, not lead status) Latest Meeting Booked Date (if available; this is specifically related to meetings booked via the HubSpot scheduling link) There is no way to add additional properties to the pop-up 'Scheduled meeting' list, filter the data, export it, or add it to a segment or contact view. There's also no way to save the settings used to generate the 'Scheduled meetings' pop-up, so if I've selected specific sequences, enrollment dates, folder, etc. I have to re-select those settings every time I want to view the 'Scheduled meetings' data or save the URL somewhere handy.    The best attempt at replicating the results in a segment generates contacts that have been enrolled in a sequence at some point and booked a meeting at some point. These two activities could be unrelated or related to each other. I can add date filters, but there is no way to guarantee causuality or association between the sequence enrollment and the meeting booked.   The ask: In segments, I want to view contacts that have booked a meeting through sequences. I want the ability to choose whether to show the results for all sequences overall, or specific sequences.   Having this information in a segment format would allow me to add and filter by properties such as company type, industry, country, lead status, lead stage, deal details, and other data not currently available in the default 'Sheduled meetings' pop-up. This would expand my understanding of the results and impact, and greatly improve stakeholder reporting. I could also use these segments in saved contact and company views to share with my sales team for targeted follow-ups and coordination. These views would also provide the ability to add and filter by more properities if I didn't apply those at the segment level. This would enable me to create contact views that are specific to each sales person so that they have a clear view of their booked meetings and the related contact details across the sequences they've enrolled in. It would also allow me to send marketing campaigns to people who had booked a meeting through or associated with a sequence (some people book and cancel and may need marketing nurturing) by adding the segment name to the recipient list. We recently ran into an issue where we were invited to a client’s HubSpot account, but could not access it because the portal’s authentication requirements expected our updated email domain. To get around it, we had to create a temporary profile using the updated email domain, which is not ideal. During the support process, the main option initially presented was to deactivate users and recreate them under the new email address. The option to transition our team emails was not presented until the end of the support engagement. This creates a lot of unnecessary inconvenience, especially for users who have been working in HubSpot for years. Personally, I have a HubSpot account I’ve used for almost five years. Deactivating and recreating a user can create concerns around historical activity, ownership, permissions, connected tools, notifications, meeting links, inbox connections, reporting visibility, and general continuity across portals. For teams that work in multiple client accounts, this can become even more disruptive. I completely understand that changing a user’s email address needs to be secure. Users who genuinely need to update this crucial detail would likely be willing to complete authentication steps, verification emails, admin approval, or other safeguards to confirm the change. There should be a clearer, more accessible way to update a user profile email address without forcing teams to deactivate and recreate users. Ideally, this could be managed by the account owner or super admin, with proper verification steps in place. It would also be helpful if HubSpot supported individual email transitions, not only bulk transition scenarios. Some accounts do not need a full team migration. Sometimes it is just one user who needs their email address updated. This would be a major quality-of-life improvement for agencies, consultants, and teams that go through rebrands or domain changes while needing to maintain clean access, user history, and continuity across HubSpot portals. ...read more

Tasks within the record activities previously appeared in order of the soonest due date at the top, which made it easy for users to prioritise their work. However, a recent change has caused tasks to now be listed with the furthest due date at the top, which is counter‑intuitive and not helpful.   This change is causing frustration for the majority of our users. They need to see upcoming tasks first, not tasks that are due years in the future. As shown in the screenshot below, tasks due in March 2027 appear at the top of the list, while tasks due this month (April 2026) require users to scroll down to find them.   Because of this, introducing a custom sort dropdown would be extremely beneficial. When you have a Zoom or Google Meet meeting and your HubSpot AI notetaker is present, HS creates both a meeting and a call activity in the CRM. This creates duplicate data if you then want to report on total sales activities for a period.   Suggestion: don't create a call activity for video meetings. I saw today that the Sales Performance section in HubSpot is planned to be sunset on May 28th. I hope HubSpot reconsiders this unless there is a good alternative planned. This section provides a great overview of performance, and the AI insights are great.    What are users expected to use in its place? As far as I've seen, nothing fully replaces the Summary and My Teams tabs, and it seems like we're simply losing valuable features if this is sunset. ...read more

I would love to see an automated tracking and reporting system integrated into the HubSpot Deduplication tool. Currently, I manually maintain a Google Doc to track the health of our database, but having this native to HubSpot would be a game-changer.   Key Metrics Requested: Identification: Total number of duplicate companies and contacts identified. Action Taken: Total merged vs. total rejected (dismissed). Exceptions: Contacts skipped (e.g., those currently active in sequences). Frequency: Ability to view these metrics on a daily, weekly, or annual basis. Having a native report or dashboard with these data points would allow us to demonstrate the tangible value of data cleanliness to leadership and justify the resources spent on maintaining a healthy CRM. ...read more
