Is there a workaround for voicemails and/or missed calls to show up as tickets in the Conversations Inbox? Since those email notifications come from noreply@hubspot.com and that email cannot be added to the Allow List, I’m a bit stuck in finding a good workaround to make sure we’re able to collectively see missed calls and voicemail.
@JLukens I don’t know of an easy way to do what you describe, as HubSpot is built all around the digital interactions of email, chat, and forms. There’s not voicemail functionality I’m aware of with HubSpot because of this. However, there may be some things you can do with workflows.
Are you using HubSpot calling or a third party for your calls? We use HubSpot calling at Impulse Creative, and in a Ticket-base workflow, I have filter type=call, and voicemail available=yes as a filter. This tells me that I can probably do what you’re asking.
Or in a Contact-based workflow, the trigger would be Activity properties and voicemail available=yes as a filter. Either way, the next step would be to Create record > Ticket.
Hopefully that helps put y’all on the right path.
Hi - how would the workflow work if the caller is an unknown contact? That is the case with most leads. I tried to build the workflow, but it didn’t enroll the calls - I THINK b/c there was no contact associated with them.
@meghani yes, you would need to make sure you create a contact in the CRM to associate the data to.
Is there an automated way to do this? I don’t see how to use calls
/voicemails as a trigger, so this would end up still being a manual process
where someone needs to check if there are any new voicemails. Is there a
workaround? The majority of our callers are new leads who are not in the
system.
Hi @meghani,
Thanks for reaching out to the Community! And thanks @danmoyle for your help ![]()
I found this post from @HEagle where the calls go to Dialpad and the caller is directed to leave a voicemail message. This voicemail is then transcribed by dialpad and sent as an email in a shared inbox.
@HEagle, would you have any additional suggestions please, to help @meghani?
Thanks and have a good day!
Best,
Bérangère
That’s a good find @BérangèreL. Dialpad might be a solution. @meghani there may be other integrations that can help as well. I’d poke around the marketplace for sure. HubSpot isn’t natively built for cold calls or incoming cold calls. But that doesn’t mean there’s not a solution that exists which you can integrate.
Hello!
We did use Dialpad initially to transcribe our voicemails, however, we recently switched to Aircall & it seems to have a better integration with Hubspot.
We are using this for our Customer Service, and though both AirCall & Hubspot have a heavier focus on sales, we’ve found it to work really well for us.
