Event Sessions Registration

Hello!

A question on typical best practice for you all :slightly_smiling_face:

We have a series of events coming up; three over three days, free to attend with registration, with the same agenda (near enough) on each, but in different locations.

Is it best practice to create three event registation forms (each event will have its own listing), or one form with a property to select which session to register for?

Many thanks!

Hi @GHector0,

If the main goal is to make the overall process of choosing the right date smooth for the website visitor, then I would create one form with a dropdown. It’s simpler, easier for the contact to change their choice last minute and less space occupied on your landing page or website.

Best regards!

Yup, thanks. I suppose my question was more to do with any knock on effects of separate forms or property selection, with workflows for confirmations reminders etc. General experiences of using either.

Also, I don’t think we can have more than one form in a campaign, so if we want to run a campaign for the ‘series’ we would have to use a single form only?

@GHector0 any workflows could reference the form submission + the property value selected. I don’t see any pitfalls here :slightly_smiling_face:
Any additional specific concerns?

I think I’m just trying to think ahead to make sure the workflow(s) has the simplest process possible i.e. each session needs it’s own reminder/confirmation flow either in a new workflow or within it. No worries. We’ll crack on with using a property, thanks for the replies.

Hey @GHector0 , @karstenkoehler 's comment is a great way to leverage the dropdown property which could then subsequently power workflows to send specific types of emails.
If you’re looking for an advanced approach that scales, event•hapily comes with a form module that allows people to select their session(s) for an event! We have our own hapily event object and hapily session object which are associated. In the form settings you can select which event to register people for and we’ll automatically pull in the sessions as a multi select:

Not only, but you can control how many sessions a person can register for AND it will pay attention to the capacity of each sesssion so it doesn’t overbook! There’s lots of different display options to customize.

When you leverage this method, you can simplify your registration confirmation emails with our session registration email module that will list all of the sessions that they’ve registered for, all in one workflow that will encompass any of your events.

Multi-session events are now easily managed inside of HubSpot, whether you have a simple need covered with a dropdown, or if you have a lot more to manage leveraging event•hapily
