Create one form or multiple forms?

So here is an issue. We run webinar every now and then for our audience for marketing purpose. Now the question arise whether we should rather just use one form or use separate form for separate webinars, keeping reporting and attribution accuracy in mind.

I’ve heard multiple answers to this question, but would like to know what has worked for you guys.

Hi @Nirman,

That depends entirely on what you want to report on and the subscription you have. I’ll explain a few scenarios:

  • If you do not have overlapping webinars (where one promotion period for webinar 1 overlaps with another for webinar 2), then you can easily filter who registered for webinar 1, 2, 3 etc by specify a form submission date range in a contact segment.
  • If you have overlapping webinars, then the form probably has a multiple checkboxes property to select the edition / date. If so, you can build segments filtering for “[checkbox] has ever been any of [date1]”.
  • If you’re working with an integration, like GoToWebinar, the integration requirements are forcing you to create separate forms anyway.

For a more nuanced answer, I would need to know if you’re working with a webinar integration, your exact cadence of webinars and whether they can overlap, your reporting requirements. If you’re not running into any reporting issues and multiple forms simply feel right, then I’d argue that you should go with a single form. If something isn’t working because you’re using a single form, that’s an indicator for needing multiple ones - but it depends on the details.

Over time, the number of forms in your portal will go up if you choose the multiple forms route and it’s not pleasant to have to clean up. If you can prevent that early on, that’ll save you time later.

Best regards

Currently we are using Zoom Webinar to conduct webinar, and the webinar is like educational one, which has almost similar fields, except for a few properties that might need some tweaking depending on what details we need for them.

The issue is with having tons of forms like you aid. The portal now has a lot of forms for similar webinars, and marketing is more concerned about reporting if we switch back to a single form format.

If we opt for option 1, perhaps we can just filter it by date? But for that we would need to keep track of all webinars in detail?

@Nirman if you’re using the Zoom integration, all webinars should show up for easy reporting as marketing events out of the box: Use marketing events - regardless of whether registrations happened through one or multiple forms.

Hi Nirman, for Zoom educational sessions with mostly the same fields, one form is usually enough if you stamp which session on the contact (date or webinar name). Separate forms only start winning when sessions overlap or reporting needs clean per-event lists without date filters.

The piece that usually bites later is less the form count and more getting show / no-show / replay into follow-up cleanly after the live room. Happy to compare notes on that ops layer if useful.
