Block spam by subject line?

Hi! We receive a lot of spam emails in our inbox, the email is always the same but it’s sent from different unique email addresses so to block sender is not a solution.

It’s the same subject line in each email - is there a possibility to filter these out somehow?

Thanks!

Hi @EMalmberg,

Unfortunately not, no. The only current existing options are listed here: Manage the allow and deny list in the conversations inbox or help desk

I agree however that this would be very useful. You could request this in the HubSpot Ideas section of the community. https://community.hubspot.com/t5/HubSpot-Ideas/idb-p/HubSpot_Ideas

These requests submitted to the HubSpot Ideas section of the community are reviewed by the HubSpot product team, based on their popularity and the assumed demand. I’d recommend commenting and upvoting.

As far as workarounds go, you could set up these restrictions directly with your inbox preview, before emails even arrive in HubSpot. Your point of contact here would be your IT.

Have a great day!

Agree this is a common gap. Deny list only helps when the same address or domain repeats — if every message uses a new From address with the same subject, HubSpot can’t filter Conversations by subject alone today.

What usually works best: create a rule in Google Workspace or Microsoft 365 that quarantines that exact subject (and close variants) before mail ever syncs into the Shared Inbox. Then keep the HubSpot allow/deny list for any domains that do start repeating:

If the subject mutates slightly each time, you’ll need broader provider rules (or content-based handling later). Happy to brainstorm rule patterns if you can share a couple of example subjects (redact anything sensitive).
