Using workflows to edit properties

Hi everyone,

I’ve got a couple of custom objects going on and multiple properties that correlate. These are used to power dynamic webpages for an e-commerce style site so associations aren’t the answer here.

The custom objects are products, product category, and vendor.

I’m trying to reduce the work for my client when adding new vendors or categories. I’d like to use a workflow to edit properties across these objects i.e. adding options to the properties themselves not just selecting a value. Right now, the process involves editing properties across the category and vendor objects and it’s a bit long.

It doesn’t look to me like it’s possible. Is it possible to use workflows to edit properties?

Thanks a lot

Hi @CBrown49,

If the question is whether workflows can be used to create new property values (versus editing a record to reflect an existng value), then no. You would have to create a private app and work with the HubSpot API to achieve this behavior. Accounts Dashboard | HubSpot

Hi @CBrown49

You’re right to flag this workflows in HubSpot are powerful, but they’re limited to updating existing property values, not creating new dropdown options or property definitions themselves.

In your case (vendors, categories, products), that’s why it feels like double work: you’re maintaining property structures rather than just data. As @karstenkoehler mentioned, the only way to dynamically extend property options is through the HubSpot API. A private app could listen for when a new vendor/category is created, then push that option into the right property automatically.

Another workaround some teams use is creating linked custom objects instead of dropdown properties that way, adding a new vendor or category is just creating a record, not editing property definitions. This also scales better if your list grows often.

Have you considered shifting vendors/categories to custom object records instead of static property fields? That might save your client from constantly updating properties.
