Salesforce Selective Sync record types?

I am considering setting up the selective sync between Salesforce and Hubspot but before doing so, I want to confirm that I can select (include/exclude) specific record types to sync. There are certain Salesforce record types we would never want synced with Hubspot and this would be the most simple way of doing so. Does anyone have knowledge of this they can share? Thanks!

Hi @Siobhan

Can you clarify what you mean by ‘certain record types’?

If you mean custom objects, the HubSpot connector can only sync lead, contacts, accounts and opportunities, so custom objects may not be an issue.

If you are referring to records within those object types, then you can prevent HubSpot syncing them to salesforce by excluding them from the inclusion list.

If there are records, in those objects, in Salesfore that you never want in HubSpot, then selective sync may help you. Selective sync basically means restricting the connector to only records that the integration user can see.

@bradmin can probably tell you more about how that can be used to target different types of record.

Hope this helps.

Hi, @Siobhan. This article requires careful review before proceeding. Selective sync is a nontrivial setup, but one which can be maintained through careful preparation and planning.

At a high level, selective sync is about tinkering with role hierarchies and org-wide defaults on objects the connector speaks to. By manipulating these in Salesforce, you’re effectively hiding unwanted records from the integration user. If the integration user can’t see a record, HubSpot can’t see a record.

The mechanism is through the role hiearchy and OWDs, not record types. That’s not to say you can’t do what you’re asking. You could set up selective sync, and assign desired record types to roles the integration user can see, and undesired types to roles not visible to the integration user.

Thank you, this is exactly what I was looking for--much appreciated!

Hi,

We are running into an issue with a PE Salesforce org which does not have API access and we cannot create a Sharing Rule on the Leads object to activate selective sync. What I need to do is basically send certain leads back to Hubspot if they go into a specific lead stage, for example “Nuture”. These leads already exist in Hubspot, and when they meet the criteria, the inlclusion list creates a Lead Record in Salesforce. If our Salesperson marks this as “Nuture” how can I let Hubspot know that we need to basically remove the Hubspot Qualified flag from it, so the marketing team can remove the “Qualified” Status for this SALESFORCE LEAD (Existing Hubspot Contact).

Hi
Here is the article on Selective Sync.

I’d recommend you to go to

2. Define Sharing Rules based on criteria > Step 3: Which records to be shared. Please select field RecordType: ABC. Now that you have only shared a particular record types those will only snc with HubSpot.

Hope this works for you!

You can run the sync through Skyvia, where you can filter records by type before they ever reach HubSpot. You can read more about it here.
