When clients reschedule a meeting and they select the new date and time they are directed to the Your Information page. It is assumed as the meeting is being rescheduled that your contact details are already held in HubSpot, hence … you are not able to populate the fields on the page.
However, it is not intuative to click confirm when the contact field are not populated. Hence, we continually have issues where a client doesnt click to confirm the reschduled booking.
Would be nice if these fields were populated even if not editable?
Meeting Rescheduling User information is not accessible, so we just ran into an issue with the meeting reschedule option. You can reschedule, but the form does not allow you to renter or auto-populate the previous information. This needs to be clarified from a UX perspective. It may be something you want to update quickly.
Is there something on our end to help remedy the situation?
In addition, is there a way to designate a list, property, or deal pipeline to a meeting request? Would that be done through automation? We have been using the meeting request as forms at conferences and events. Setting that option upfront would be really helpful.
I agree, the fact that they are not populated causes a lot of concern for our clients, they don’t know why they cannot edit is, as it isn’t clear the page has already collected their data.
I can understand it blocking the basic information, but it does also block the option to invite someone else into the meeting.
Furthermore, HubSpot is aware of this situation and it does not seem they are trying to fix it based on the replies I get from their Support Assistant Chat, and that this was posted back in 2022.

You’re absolutely right to expect that customers should see their own details there – the current behavior is not intuitive, and I agree it’s confusing from an end‑user point of view.
Today, though, that reschedule screen is a product limitation:
The identity fields (name/email) on the reschedule view are locked and cannot be made editable.
In some cases they also don’t visually show the stored value, even though HubSpot is using the original booking details in the background.
There isn’t a setting to change that behavior or to “un‑lock” those fields on reschedule.
The most practical workaround you can implement right now is to make it very explicit on the page what’s happening and (if needed) add separate visible fields for anything the customer might want to update:
Go to Sales > Meetings Scheduler, hover over your round robin link, and click Edit.
On the Scheduling tab, in the form section, add a short explanatory line in the description such as:
“If you are rescheduling, your name and email are already saved from your original booking, so you won’t see or need to re‑enter them here.”
If you need customers to confirm or update something, add separate visible questions (e.g. a single‑line text field “Preferred contact email (if different)” or a checkbox “My details are unchanged”) so they have something they can interact with and understand.
For high‑touch cases where customers must change their email, consider asking them to use a fresh booking link instead of the reschedule link, then cancel or update the original meeting internally in HubSpot.
Click Save and test the flow again with a real reschedule link to ensure the new copy removes the confusion.
If you’d like this behavior changed (showing the actual values and/or making them editable), I strongly recommend posting it as a UX request in the HubSpot Ideas section of the Community so the product team can see it as direct customer feedback.
Agreed! +1. I just wrote to support again on this as well. Seems like this is simple request. Handle it like cancel - no fields are shown on screen.
Clients are not happy with the experience. And on mobile, it’s even less intuitive than website because there’s less real estate to see that you can still hit “submit”.
I just wrote to support as well as the user experience is not great on this. It’s even worse for companies whose constituents use mobile primarily. Pushes the confirm button further down the screen. Not intuitive.
Wish it was like the cancel button where the fields are all hidden.
I’m Melissa, the Product Manager for the Meetings tool at HubSpot!
I wanted to thank you for taking the time to share this feedback with my team. Just to keep you all in the loop, I wanted to let you know that we don’t currently have plans for changing the functionality here. This definitely does not mean we’ll never make this change! My team is working on a lot of enhancements to Meetings at the moment and we’ll be evaluating this request in the future once we have more capacity.
It’s Melissa, Product Manager for the Meetings tool, back to share that I am still aware of this feedback and considering it for future improvement. Due to timing and other priorities that currently have the team’s focus, this request is still not currently planned.
However, we look at our roadmap frequently and I look forward to updating this thread in the future when we are able to start making some enhancements to this flow.
