Property clean up -- making archiving simple

Currently to clean up properties and archive them you need to remove the property from all views it is used under which might be created from other user meaning you would need to contact them and check manually who created each with.
This is a time consuming effort that requires a to get involved all parties that created views.
There should be a simple way to remove a property from existing views for admins and potentially leave a note as notification for the reasoning to people that had it in their views.

Agreed- no reason why the property has to remain on future deals because it was utilized on past ones that are now closed.

From time to time I need to archeive a property but I find it a bit of a challenge since the property is used in workflows, reports and views etc. like this:

What I normally do is that i’m clicking through each view and remove the column and save it. Issue is now that I save it in my own name and not the original owner, since I cannot save it as the original owner. Alternatively, I need to login as the specific user and remove the column click save etc.

For me, as a super admin, I really don’t understand why I cannot force a removal of a property even though it is being use. It is so time consuming to do this process manually.

this is absolutely ridiculous that System Admins can’t archive a property that’s used in a saved view created by someone else. contacting them to ask them to remove the property is a waste of time and adds so much effort to simple database management

I also faced the same issue. I have tons of properties in my hubspot account, that property is associated with multiple objects, contacts, companies, deals also the occurence is found in multiple views and workflows. Now I can not force the property to ve removed from all the occurences. I need to go on each object and remove the occurence manually.
Admin should have the ability to remove the property occurrence from anywhere directly, He can forcefully delete, if any error is found on workflows or view, they will response as an error. Till the time the owner of that view and workflow comes and resolve the workflow again. Also the email should be sent to the owner of that view or workflow when someone is deleting the property.

The goal of this update is to make it easier to clean up properties that aren’t critical your CRM data model.

  • This functionality is available as part of the Improved property archive experience beta available to all tiers and hubs
  • To get access to this beta, request access via Product Updates (beta update here)
  • To test it out, simply Archive a property that is only used in index page views as a column/sort - you’ll be able to Archive directly in Property Settings and the property will be automatically removed from the corresponding Views
