Merging workflows

Question:

I am currently working with three separate deal-based workflows in HubSpot, and I’m looking for guidance on whether it’s better to merge them or keep them separate to ensure a seamless process.

Here’s the scenario:

  1. Workflow 1 Trigger: A deal from any pipeline (except Pipeline X) moves to the Closed Won stage.
  2. Workflow 2 Trigger: A deal from any pipeline (except Pipeline X) moves to the stage immediately after Closed Won.
  3. Workflow 3 Trigger: Once deal from any pipeline (Except Pipeline X) moves to the last deal stage a form is sent out and When the contact fills out the form, they are enrolled into Pipeline X.

NOTE:

  • Workflow 3 need to be initiated after deals from any pipeline (excluding Pipeline X) reach their final stage.
  • OPINION: The time it takes for a deal to move between stages is unpredictable, so adding delays to create a single workflow may not be the most effective approach.

My Question:

  1. If merging is feasible, how can I structure the workflows to ensure a seamless transition between stages and avoid potential issues with timing and dependencies?
  2. If merging is not feasible then will the current setup suffice?

Hi @JMahboob3

Seeing that you have 3 very distinct enrolment triggers, I would say having 3 workflows makes sense.

My general recommendation is to rather have more but “shorter” workflows than one big complex one for the simple reason that troubleshooting and potential future changes are easier with more but less complex workflows.

Out of curiosity, what makes you think doing this in one instead of three workflows is the way to go?
