Hi All!
What are the best practices for having multiple workflows for a single HubSpot campaign vs one complex workflow with endless branches?
example - one workflow for lead source & lead source detail assignement, and a separate workflow for SFDC campaign assignment, each with the same trigger of a specific form fill.
Can workflows share enrollment triggers?
Would love to hear what others have done.
Hi @SNicholas,
This is mostly a question of personal preference, but I’l share my usual considerations.
First of all, yes, workflow can share enrolment triggers. Generally, there isn’t any issue with multiple workflows running in parallel as long as there aren’t any dependencies. For example, one workflow might need another workflow to set a property value. If that first workflow is faster than the second workflow, you have to add a delay to make sure the second workflow is done with this specific action.
Next, troubleshooting is generally easier with shorter and simpler workflows. I define “short and simple” as understanding the workflow at a glance. Or two glances, again, really, this comes down to preference. Anything that fits onto a screen I would consider simple enough. If you’re starting to have nested if/then branches, conditional delays etc, troubleshooting will become harder and errors will creep in more easily.
Another consideration would be whether workflows have different unenrollment criteria. This is often overlooked. Workflows might share the same enrollment criteria but not have the same criteria for ejecting a contact.
Lastly, you need to consider how you want to scale your portal. If you’re creating three to five workflows per campaign and you have weekly campaigns, that means you’ll end up with hundreds of workflows after two years already. Any clean-up or change in overall approach will be an absolute manual nightmare.
For your campaign workflows, if you don’t see any of the risks described above (errors creeping in, different exiting criteria, loss of overview), you’re probably good to create one bigger workflow. Especially for campaigns you want an easily repeatable process.
Hope this helps!
