This morning, while accessing my Hubspot forms, I discovered that all but two of my forms had disapppeared without a trace. Seemingly, they have been deleted by Hubspot itself because none of my account’s users have recently accessed our account.
For background, my organization recently ended our paid plan with Hubspot due to increasing costs. As such, we dropped back to a free account near the start of this calendar year. However, even after that transition, we maintained access to our forms and more importantly, their submissions. Now, all of that is gone, leaving us in a bind.
Any insights into the cause of this would be appreciated, as well as how these forms and their submissions can be immediatly restored.
You might have to contact Hubspot about this. Having gone through upgrades/downgrades in the past, I have seen workflows locked and other features that would have been accessible in a different tier, but never back to free. Ultimately in these instances their support has needed to step in to help.
If you went back to free do you have a plan in place to replace your forms instead of relying on Hubspot? In addition to lost features, there are different requirements and thresholds (ie: email opt outs/spam complaints) that could impact your business that should be taken into consideration where it may be better to replace with a different system then to stay in a free tier.

Worst case scenerio, we lose 3+ years of forms submission data, with those from 2023 being the most recent and important. We’ve already migrated our forms to our new platform, though we kept these legacy forms open to ensure propsective respondents who had already been sent this version didn’t lose out on a chance to submit.
Since you were on a paid account prior I would try reaching directly to your previous account rep if you still have their contact info and not through chat as their default reply for free accounts is to send users here which is user to user support as there is no support offered for free accounts. Unfortunately it’s possible that it is lost, so it’s good that your new plans are in place. It might just be worth setting up a redirect on your site to push people who may have the old link to your new form if that is possible.
As @Ben_M mentioned there are some features that will get locked when you downgrade - see this article for details - but to the best of my knowledge the number of forms is not one of them.
Based on HubSpot’s technical guide there is a limit of 10,000 forms, regardless of your HubSpot subscription tier.
Just to double-check:
the forms that have gone missing were actual HubSpot marketing forms or are we talking about meeting links?
where these marketing forms embedded on your website?
if so, have the disappeared there too or can you “just” not see them in HubSpot?
I believe you’re right in that some features depreciate upon dropping down to a free tier. We were aware of that before our transition to the free tier, and to our knowledge, deletion of previously-created forms was not on the list of functional changes. Perhaps more confounding, these forms were still functioning and their submissions were still visible as recently as a month ago - over 3 months after our paid plan ended. This is why I believe this deletion occured unilaterally.

Yes, all missing forms were built in Hubspot.
No, they were not embedded. Some were hyperlinked.
Yes, these forms have “disappered” from our website insofar as when I click a link to them, it takes me to a Hubspot error page.
