Emails through Google (gmail) but using outlook software

I am setting my team up with Hubspot, and our trainers told me to have everyone use the same email software. They said that Gmail was the superior method, especially if the team already had access to it. Well, we have Gmail. Our email is run by Google, but everyone uses the Outlook software to run it. It’s strange, but it works okay. I guess they are synced in a way that we don’t get our email service through Microsoft.
The point is, there is a lot of pushback as they CAN use the Outlook software. How important is it that everyone is on the same software? Does it matter that the calendars, emails, etc. can still use gmail or outlook?

Hi @MadLee,
Thank you for reaching out to the Community!
I’d like to ask some clarifying questions just to make sure we help you the best we can:
1. What is the ultimate goal here that you are trying to achieve, please?
2. Are you trying to have all the emails (whatever the software Gmail or Outlook) logged into HubSpot?
3. What is the challenge you are trying to solve, please?
4. When you say that you want everyone on the same software, do you mean on HubSpot? Or do you mean either on Gmail or on Outlook?
For information, I’d like to share these resources that might be of interest to you:
- Connect your personal email
- Set up the HubSpot Sales Chrome extension
- Set up the Outlook desktop add-in
- Use HubSpot’s calendar sync with Google Calendar or Outlook Calendar
The more info, screenshots (without sensitive/confidential information), and details you can provide, the better the Community can assist.

I also wanted to invite a couple of subject matter experts to this conversation: Hi @Jnix284, @LouiseHare and @GreyHamilton do you have any insights to share to help @MadLee, please?
Also, if anybody else has anything to add and/or share, please feel free to join in the conversation :slightly_smiling_face:
Thank you very much and have a great day!
Best,
Bérangère
