I setup the notifications to be notified whenever someone opens my emails. However, instead of seeing who opened the email, I get the same notification every time.
Example, Jane Doe opens the email. Then Sue Smith opens, then Bob Jones.
Instead of seeing notifications that each of these guys opened the email, I get the same notification, “John Cooper opened your email”.
Because of this, I can’t find out who is actually opening the email, only that someone opened an email somewhere. It’s impossible to know without manually backtracking through every email I sent.
Anyone have any ideas on how to fix this?

Can you check the contact’s timeline? Their timeline should show the email open activity. If it’s correct there, the issue is likely with the notification system, which you can try disabling and then re-enabling.

- Check the contact’s timeline: Go to each contact’s record in HubSpot and look at their activity timeline. You should see who actually opened the email there, even if the notifications are showing the wrong name.
- Reset notifications: Turn off your email open notifications in HubSpot settings, then turn them back on. This can sometimes fix glitches in the notification system.
- Understand tracking limits: HubSpot tracks email opens using a tiny invisible pixel. But some email clients block this pixel, or if emails are forwarded or opened by multiple people, the notifications can get mixed up or show the wrong person.
- Be careful with email threads: If you reply to multiple people in the same email thread, HubSpot might track the whole thread as one email, which can confuse notifications. Try sending separate new emails instead of replying all in one thread.
If you try all these and the problem continues, it’s a good idea to contact HubSpot support. Provide them with screenshots and details so they can investigate and fix the issue quickly.
