Deactivated users filter in reports

In HubSpot reports, we frequently compare different date ranges, such as “this year versus last year.” A common issue arises because some users may no longer be active within the company - which can be resolved by deactivating them but keeping them part of the team.

However, there are times when we only want to view current or recent data.

For year-over-year comparisons, we need to include data from deactivated users to ensure historical accuracy. Conversely, when examining recent data, we prefer to exclude deactivated users from these visualizations.

Currently, HubSpot provides only two practical options:

Manually select individual active users, which is labor-intensive and requires frequent updates to the report whenever team composition changes.

Apply a filter to display users only if they have associated data. Unfortunately, this option unintentionally removes active users who simply lack data for the selected timeframe.

To address this, we propose adding a new filter option on reports labeled “Include deactivated users?”. By default, this filter should be set to “off,” providing a convenient and efficient way to toggle inclusion or exclusion of deactivated users, simplifying both recent data analysis and historical comparisons.

We constantly hit the max level of 3500 reports and need to delete reports weekly. To enable us this cleaning, we would benefit in being able to filter on reports and dashboards that are owned by deactivated users (not by selecting them 1 by 1 but all deactivated users in 1 option). With a large user base, we dont always remember all our deactivated users, so this would be a time save.

Another simple addition would be adding a sort function to the “total views”. So we could easily detect all reports that have very limited or no usage at all. Today we can see the number, but not sort by it.
