Convert Static Segment to Active

I searched on this topic in HubSpot help. Below is what I found and it’s inaccurate. There is not option to convert Static to Active when I click on Actions. How do I do this?

Convert a static segment to an active segment

When you convert a static segment to become an active segment, records will be added to or removed from the segment automatically based on the filters you’ve set. You’ll no longer be able to manually add or remove records.

For example, your static segment includes contacts you’ve met at fundraising events. You want the segment to only include contacts you’ve met at events who live in your target region. You convert the segment to active, then add the Region filter. The segment will automatically remove event contacts that live in other regions.

To convert a static segment to an active segment:

  1. In your HubSpot account, navigate to CRM > Segments.
  2. Click a static segment. The selected static segment must include filters to be converted to active.
  3. In the top right, click Actions, then select Convert to active.
  4. In the dialog box, click Convert to confirm.

You should see the option here:

Keep this limitation in mind: “The selected static segment must include filters to be converted to active.”

If you do not have filters in your static segment, simply create a new active segment, add a filter for segment membership, and specify your static segment. The active segment will then pull in contacts from the static segment.

@JSchmitz2 This one trips people up all the time. The Convert to active option only shows up when the static segment has filters. If it was built from a manual import or hand picked records, there’s nothing to convert. What I’d try:

  • Open the segment and check if it has any filters saved
  • If it does, look in the Actions menu for Convert to active
  • If it doesn’t, create a new active segment
  • Add a filter for Segment membership is a member of your old static one
  • Then layer on any extra criteria you want it to keep updating on

The membership filter trick is what we use most with clients. Let me know if the option still doesn’t show!

@JSchmitz2 I’ve hit this one with clients too. The “Convert to active” option only shows up if the static segment already has filters on it. A plain static list with just hand-picked records won’t show it.

Here’s what I’d do:

  • Check if your static segment has any filters. If it does, look under Actions for the convert option
  • If it has no filters, create a brand new active segment
  • Add the filter “Segment membership” and pick your old static segment
  • Save it and let it process
  • Later you can swap that filter for the real criteria you want

The new segment will start with the same people, then update itself as records change. Let me know if you want help setting up the criteria!
