Hi, I just wanna clarify what the above screenshot means. “even if its not your link”. Does this mean that if the contact has a meeting outside of my organization? The reason why I am asking is I am confused as to why contacts are unenrolled from sequences and the message would just say “booked a meeting”.
Also, does Booked a meeting mean that they received meeting invite from me regardless if they accepted or not?
Hello @KemBaricuatro,
“even if it’s not your meetings link” refers to other meetings links created by other users in your portal, not outside of your organization.
To confirm, you’re enrolling contacts into sequences, they are being unenrolled from the sequence because they booked a meeting but that meeting is not with you? Have you checked on the contact record of those contacts; do they have a meeting scheduled, if yes, with whom?
Also, could you confirm that you’re using a personal meeting link, not a team meetings link in your sequence?
Regarding your second question, “Booked a meeting” means that a contact has filled out the meeting form. Deleting the calendar invite is reflected on the contact record in HubSpot, declining is not. (I’ve tested this with Google Calendar.) It will remove the “Upcoming” entry from the contact record, the entry about the sent confirmation email will stay. (If a contact has booked a meeting with you, unenrolled from the sequence and then deleted the calendar entry, you would still see the meeting confirmation email on the contact record, but not the meeting itself.)
Hope this helps!
Hi Karsten ,
I appreciate your reply and it kinda made sense. But just to clarify, if I send a calendar invite to my prospect through my gmail calendar which is synced to my HS, would that count as meeting Booked?
Hi @KemBaricuatro,
I’ve updated this post after learning more about this functionality. Yes, HubSpot should show meetings with contacts scheduled outside of HubSpot on their contact record when the calendar is connected.
Best regards!
Hi Everyone,
Just a quick update on this. So I did some testing and apparently Hubspot if sync to your Calendar creates a meeting within the activities for my contacts right after I send a calendar invite. This will then Unenroll my contact to the sequence.
Is there a way for me to exclude the Meeting Booked reason for unenrollment? Thank you in advance!
Hello @KemBaricuatro,
Thanks for letting me know. A previous test of mine had not shown the meeting booked outside of HubSpot on the contact record, I’ve tested again and updated my earlier post.
Unfortunately, unenrollment criteria cannot be further specified or modified. These are automatic processes, explained here: Unenroll contacts from a sequence
Best regards!
All good! Thanks a bunch for the time Karsten. ![]()
