Workflows from Integrated Call Outcomes

Similar questions to this have been asked before but I haven’t seen a resolution or a question that brought all the parts of this together, so would appreciate any tips here.

Our organization uses Orum as an auto-dialer to reach a large number of prospects daily. It’s pulling from active lists in HubSpot, making calls via the Orum software, then logging call activity back into HubSpot.

We need call outcomes to trigger a workflow that will handle the calls in a certain way based on that outcome and some other properties. We’ve created the workflow we want with a trigger based on “contact has activity within the past 1 day” which works fine, however now if we call them back again a few days later, they don’t re-enroll because you cannot re-enroll based on activities.

I have seen the idea of creating an active list of contacts with an activity/call in the past 1 day. The problem with this is that it will only work once per day. If we call someone and mark it as “No answer” or “Left voicemail” but then they call us back a few hours later, the workflow won’t trigger from that call outcome.

We can’t use an event-based workflow for “call ended” because that only works when using HubSpot Calling and not an integration. We can’t use HubSpot Calling because Orum uses its own bridge.

I feel like there has to be some sort of workaorund here. Why would HubSpot not have the ability to just trigger someone into a workflow every time a call is logged? Seems like something that’s too basic not to be included here, but so far I’ve struck out trying to find a way to deal with this.

Hi @CashewsForLunch and Happy New Year!!!
I love this question, thanks for asking the Community!
I don’t know if you have seen these similar threads yet:
- The solution from @karstenkoehler on this thread “New calls to kick off a workflow”
- On this post “Workflow Automation Triggered on Activity”, @Plats suggests using the Cradle integration for re-enrollment if you are willing to look at third-party application.
- On this thread “Triggering a workflow every time a note is added to an object”, @PhilThomas is giving a workaround which consists in incrementing a property value. Not sure if that would work in your specific case?
I also wanted to invite a couple of subject matter experts to this conversation: Hi @HFisher7, @Josh and @DavidDennison can you think of other workarounds to help @CashewsForLunch, please?
If anybody else has anything to add and/or share, please feel free to join in the conversation :)
Thanks a lot  and have a great day!
Best,
Bérangère

Quite unbelievable that this functionality doesn’t exist. A marketing tool that doesn’t let you discriminate between call outcomes? Really HubSpot?

Good News Everyone! Call-Based Workflows are now LIVE.
@CashewsForLunch this should solve exactly your use case. I created the trigger for you below:

Here’s a little more on them

You can now create workflows centered around calls.

Why does it matter?

With this change, you can now trigger automation based directly on all calls that happen or are logged for your contacts. Then, you can use workflow actions to create standard, automatic internal processes for call follow up or management.

For example, you could send the summary and outcome details of a call to the sales rep or their team over Slack.

How does it work?

To create a call workflow:

  • From the workflows tool homepage, click “Create workflow” and select “From scratch”
  • Choose the Call object on the object select page
  • Choose the trigger based on call events or properties
  • Add actions as usual

Please note that Call workflows are not available in Sandbox accounts.
