Workflows enrollment delayed

We have a workflow in place for new contacts, which includes rotating the contact owner. However, we’ve consistently noticed a delay between when a contact is created and when they are enrolled in the workflow. Is there a way to enroll contacts into the workflow instantly or with a shorter delay? Currently, in some cases, we experience delays of 1-2 hours.

Hi @STopalovic,

Can you share a screenshot of the entire enrollment criteria? Are there exclusions set up in the workflow settings?

Best regards

Hi @karstenkoehler Here is it.

Hi @STopalovic,

Can you confirm that each contact receives a Lifecycle stage value when they’re created? (If so, how exactly?) If not, that would explain the delay.

Best regards

Yes, they all do receive value of being lead. See attached.

Hi @STopalovic,

Thank you for confirming.

Have you checked if the workflow has unenrollment / suppression set up in the workflow settings?

Yes. Cant think about anything that can be the cause of these delays.

Hi @STopalovic,

Have you checked the exact timing of a few cases (contact records); what’s the time stamp of Lifecycle stage getting a value, what’s the timestamp of the enrollment? (It does sound like you have, just want to confirm.)

In any case, it seems like this may be a product issue and I’d recommend reaching out to HubSpot support. This is as much troubleshooting as I can do remotely.

Good catch. The workflow in all cases immidiatly after the lifecycle change has been updated. Would you advise to remove lifescyle change and keep the other two parameters to trigger workflows when the new contact is created?

Hi @STopalovic,

I don’t have the bigger picture of what you’re trying to accomplish – but if you want to rotate any new unassigned contact, then yes, simply remove the Lifecycle stage enrollment trigger.
