Workflow triggers

Before you build your next workflow, complete this one document.

Most workflow problems don’t start with the action — they start with an unclear trigger. Enrollment issues, re-enrollment surprises, missing associations, data conflicts with Salesforce — these are almost always traceable back to decisions that weren’t made before the workflow was built.

To fix that, I put together a Workflow Blueprint: a one-page framework that walks you through five decisions before you open the workflow editor.

The five steps:

  1. Write the business event — complete the sentence: “When [record] does [event/state], and [conditions], HubSpot should [outcome].”
  2. Choose the primary object — which record enters, and which associated record gets updated?
  3. Map the source of truth — is HubSpot the owner, or does Salesforce or another system control this data?
  4. Define the trigger contract — event or state? Re-enrollment? What stops it? What if data is missing?
  5. Test with five records before activating

This is super useful! - Having a framework before creating a workflow saves you tons of time!

I’ve never thought about testing with different records to see what “gotchas” I might come across in the future!
