I have a workflow set up where the trigger is “Hubspot score >= 100” with a myriad of filters added to it, particularly ones focused on workflow activity.
Overall, I want to avoid contacts entering this workflow if they are already active in another marketing workflow. My hope is that once they are no longer active in other workflows, they would then enter this one but it doesn’t seem to be happening that way.
My wondering: If a contact meets the trigger criteria but does not meet the refinement filter criteria, does that mean they will never be enrolled in the workflow if the refinement filter criteria is met in the future?
Overall, I’m trying to understand the difference between the trigger and the refinement filter.
Generally records will enroll in a workflow once the stars align and all trigger and filter criteria hold true.
What I suspect is happening however is that there’s a mistake in your myriad of filters, that you mentioned.
It sounds like you’re trying to limit marketing communication to one workflow at a time. The way I like to solve for this is the following:
Create a property, e.g. “Currently active in marketing workflow”
At the beginning of each marketing workflow, set it to “Yes”
At the end of each marketing workflow, clear the property value
In the enrollment criteria of each marketing workflow, specify that contacts cannot enroll when the value is “Yes”
Create an additional workflow that enrolls records when “Now in workflow” is not “True” and also clear the property value (this is to make sure that contacts who leave workflows before arriving at the end don’t stay blocked forever)
This is far more manageable than listing all other workflows - and less prone to error.
The enrollment trigger and the refinement filter criteria work in tandem - they both need to be met in order for a record to enrol. Am I right in saying that your workflow is using an event as an enrolment trigger?
If that’s the case, for a contact to enrol in the workflow the event will need to occur and the refinement filters must all be met at that time. If the event occurs and the refinement filters are not met at that time, it will not enrol and will not delay enrolment until the refinement filters are met.
Depending on what your enrollment criteria is, it might make more sense to use filter criteria as the enrolment trigger for this workflow - as contacts will only enrol once all of the criteria are met, and it won’t be depedent on the occurence of a particular event.
