Can you specify further what you mean?
Your sales department sends the customer a quote and moves the deal to the “quote sent” stage. Do I understand you correctly that if a customer then replies to the email (with the quote you sent) that you want to get a notification on the fact that there is a new email in the deal?
Further questions are:
- Should it be applicable to all deal stages or only to specific once that you chose?
- Should you get notified upon other activities like email open, webhook triggered, note made et cetera or do you only want to be notified on emails?
- Should the notification be based on a user - or on your organisation? (that is - if one of you sales reps opens the deal - should the notification disapear from all of your sales reps or only for that specific user?
Best regards,
Michael
Hi Michael,
Yes, exactly right - we want a notification in the deal, so the deal owner can get an overview in their pipeline where a contact has replied to their e-mail
- This would be useful for all deal stages, also for tickets in the ticket pipeline
- Only email activity, such as a new e-mail or a reply to an e-mail connected to the deal
- I would say it should be organiation wide and the notification should only disappear if an action is taken(e-mail replied or task is set to follow up) or if a user manually removes/archives the notification
You can actually do a work around to get this to work today already. Its a bit of work but you can do it if you have access to hubspot workflows and it might not be exactly the way you think.
First of all - you would need to change the view of your deals - from card view to list view (thats a process of its own but it is way better when the business grow - I know from experience).
2. Within list view you can create and setup lists exactly the way you want. What properties you want to be shown and from what deal stage the deal should be shown. If you play around with the filters of the list view and learn how to save it and share it among users this will get you to a good start.
3. Create a custom property (within settings - properties - deal properties). Name it anything but maybe “notification” or “attention” - something that is easy to remember. Make it as an option between true and false - on or off.
4. Make this new property show in the list view with your filters (that you learned in step 2 above).
5. Set up a deal-based workflow. You have to work your way around triggers here that will work for you. Make sure that re-enrollment is enabled.
It might look something like this:
If activity date is less than 1 day ago AND email body is known --- then trigger update of property “notification” to true (or on).
6. Add your new property in the default view of your deal.
When you open your deal there will be a lot of properties to your left. These you can edit and change the order of yourself for yourself or for the team. By adding the notification property here and get your team to work with turning this on and off - you would get what you wanted.
7. Create a list view (see stage 1 above) with all deals that has the notification “on” and for all deals that has the notification “off”.
It wond be a red dot - but you would achive the need you have and the purpose for your proposal.
