Using a Sequence to trigger other actions

When I enroll a prospect into an email sequence, I would like to copy the email to a colleague so he knows that I have completed this and he may begin his part in the sequence for the customer. There does not seem to be any way to automate this and requries me to formulate a separate email each time despite the fact that all of the needed information is stored in the original sequence. Either a copy of or the ability to send him a separate email that has the customer name, title, phone number, etc so he can do his part.

I don’t have access to a workflow in my Sales HubSpot instance…

Hi @Yergnov,

Thanks for reaching out to the Community!

It’s currently not possible to copy a sequence email in a workflow regardless of the HubSpot Subscription level or copy the sequence email within the sequence itself. I would highly recommend submitting this feedback to the Ideas Forum.

I wanted to invite our subject matter experts to see if they have any advice or workarounds.

Hi @jolle, @danmoyle, @TomM2 - Do you have any advice for @Yergnov’s use case?

Thank you!

Best,

Kristen

Thanks for that response. How about using that customer info in a different email or create a task for someone on your team?

Hey @Yergnov creating a task from a sequence could be easily done through HubSpot workflows if you have it in your subscription.

However, it sounds like you might need to notify a collegue to let them know you’re working on the lead so they don’t work on it, is that correct? If so, are you correctly assigning HubSpot owners for your contacts? Realistically if correctly setup, ownership of a record should be obvious within the CRM. Sequences will also be logged to the contact timeline for anyone with permissions to view to see.

If you want to notify a specific user when a sequence has started, or throughout stages of the sequence then workflows would be the tool to solve this.

Actually, I am trying to trigger another colleague to perform a task while I maintain the ownership. Also, I am in Sales and Marketing has workflows, but I have no access to those. Just need to extend the functionality of Sequences to be able to pass Customer info along with either an email or task and make it part of the sequence.

This would be completely possible through workflows. Sequenced is a 1:1 email automation tool, workflows is the tool for generation automation around the CRM you’ll need to create tasks based on actions within the CRM. You could set your trigger to a sequence being sent then use the step to create a record to create a task record for your collegue.

Automated record creation is really a big part of workflows, so if you don’t have access to those in your portal it might be worth reaching out to a collegue who does to set those up!

Thanks. I guess what I hear is that there really is no solution. If I don’t have access to workflows, then I can’t begin one when necessary and I’m back to what I do now which is also not really working. Appreciate the help.

@Yergnov does your colleague have access to your HubSpot portal? I’m not sure how critical is to send another email to someone when they can see all communications in the contact record.

Or if you want access to workflows, can you ask your HubSpot admin to grant access, or perhaps work with you to design a workflow that assigns a task based on Sequence activity?

As @TomM2 mentioned, the way HubSpot designed Sequences, it’s meant to be a 1:1 follow-up tool for sales and their prospects. Not communication at scale, like workflows. So this sounds like you’re trying to make a car fly rather than drive it on the road as it was designed. So I’d think about the end goal, and see what there is to help me get there - like collaborative communication via shared records.

Just my two cents. :slightly_smiling_face:
