Tracking multiple dates and roles for the same person

Hello,

Is it possible on Hubspot to create multiple roles with associated dates for a single contact? For example, when looking at clients and partners within the organization, some people may have occupied a ‘volunteer’ role from 2023-2025, and have now taken up a ‘director’ or new position from 2025 onwards. I want to have a way to link the dates with these different roles under the same person’s contact information so I can visually see this career map and track changes in operations for all associated partners.

Various routes you can take here:

  • Association labels: Create and use association labels - this solution is limited by how many different roles you’re planning to add. You can review the history here: Associate records
  • Logging notes to the contact record: Create or log activities on a record - these will show up in the contact timeline.
  • Create a “Job” or “Position” or “Role” custom object: Create and edit custom objects - you can then create one record per role, and add custom properties like start date, end date etc. Custom object records would, among other things, show up in the right contact sidebar. This requires an Enterprise subscription.

Association labels are fine while the role set is small and mostly current-state.

Once you need dated history (volunteer 2023-2025, then director from 2025), a thin related/custom object with role, start date, end date, and org link stays reportable. Overwriting a single “Role” property (or stuffing history into notes) will not give you a career map you can filter.

If you stay on labels only, decide the max role count now so you do not hit the limit mid-migration.

How many distinct roles do you expect to store per person over a few years?
