Hi there,
At the moment we get leads from various different sources - I have a property that is manually filled in and has the following options,
- Inbound form from website
- Entered by some third party sales consultants - they are users on our account
- LinkedIn - means it originated via here then just manually entered Hubspot
- Introduction - as above
- Cold email
Our forms and emails are tracked by Hubspot but what I want to achieve is a report that will state where leads have come from. But some leads have been tracked (eg forms) whereas others are entered manually. Can I just do a report that pulls in the info seperately from the property and the email/form data?
Second to this, what would be the best way of tracking the leads generated by our consultants? As mentioned they are users on our account so would it just be to filter by the deals that belong to them? Or could I have a workflow that says when one of them creates a deal for instance it automatically updates the revelant property to say it was orginated by them?
I’m perhaps overcomplicating the issue but ideally I want as little manual intervention on this as possible so that reporting can be constantly up to date (or as close to).
Any help much appreciated.
Hey @dealmaker1
Thank you for the information provided.
I’ll tag a few experts that will be able to share their thoughts on this.
Hey @Mike_Eastwood @AdamLPW @NicoleSengers any suggestions you can share with @dealmaker1?
Thanks
Sharon
Hi @dealmaker1,
Based on your post, it sounds like this property is likely a dropdown select property, but if it’s not, I’d recommend starting there. Using a field like dropdown select (or multiple checkbox) property will allow you to more easily create reports, since it has significantly less room for user error when inputting data in a field such as a single-line text property.
One potential solution for your team would be to create a “Lead Source” custom property that had a set list of values such as:
- inbound form
- third party consultant entry
- LinkedIn
- Introduction
- Cold email
- … or any other common lead source options that you want to track for reporting purposes
Once that property is built on, you can then reply on Hubspot workflows to set this property. For example, a workflow (or multiple workflows if you prefer to keep them separate, which I’d recommend to avoid a ton of if/then logic) can be built to house some of the following pieces of logic:
- If a contact is created through the form “Internal Third Party Consultant Form”, set Lead Source to “Third party consultant”. This logic would work if you create a Hubspot form that third party consultants register leads through, which ultimately would create a new contact record. It would be important to make sure the form setting for “Always create contact for new email address” is turned on.
- If a contact fills out inbound form [insert form name here], set Lead Source to “Inbound form”.
Where things get a little bit more tricky is the LinkedIn option, since there’s no automated mechanism for Hubspot to see that a rep who created a contact in Hubspot really originated from a LinkedIn conversation. So, I’d recommend setting a required field on contact creation. This would ensure that when users are creating a contact, they have to select an option for “Lead Source”. This solution is less automated, but would ensure that any contacts who are manually created (as opposed to ones entered through one of the form mechanisms noted above) have their lead source accounted for.
Once the Lead Source property had data you would be confident in, you could then build a report around this property.
Hope this is helpful.

Thank you @Drew_Cohen and @sharonlicari , much appreciated.
Yes that makes complete sense Drew - I had created a dropdown as you mention, but hadn’t considered using workflows to set the value for certain ones. Agree LinkedIn would be more tricky but your point regarding having lead source on the initial record creation page.
Really helpful, thanks!
Glad to help, @dealmaker1. Have a great week.
