We use HubSpot for Marketing only. Salesforce for CRM. If we had to rely on HubSpot for CRM we couldn’t expect anyone to be productive.

I understand that this is complex, and there is a lot of database querying that’s happening. If lists could process as quickly as views, this would be ideal. Especially when it comes to membership/gated content on a website that uses lists. If a list takes several minutes to process, that’s vital time someone must wait before receiving their content. Speed is crucial to good customer experiences.
I can’t believe I’m reading this in 2024… while waiting for a list to load.
Information I’d have liked to have known when I first came looking for this thread:
- The best place to test for the right filters is in Views. Determine the correct filters for your list in Views, where updates are immediate, then go and add those exact filters to your list. Save the list and come back to check it later.
- Upgrading to the professional marketing plan resulted in decreased list loading time. Likely Hubspot is queuing processing time according to plan, and it’s not a question of when or whether they will improve their services, but rather if or when you will upgrade your plan.
As a former HubSpotter, I can say with confidence that this has been a long-standing pain point. Today, July 16, 202 (2025!) I created two lists: one active and one static. My goal was to move 10 out of 470 contacts from the active list into the static list.
To do this, I first applied a filter to exclude any contacts already on the static list. Then I added the 10 contacts. Surprisingly, it took over 10 minutes for those contacts to be removed from the active list and appear on the static one. Despite receiving the “Your list is finished processing” message, the lists were not actually ready—this message is misleading.
I raised this issue multiple times during my time at HubSpot, but it never gained traction. Frankly, it’s disappointing to see this kind of performance and user experience from a $27 billion company. While I would have preferred to use a contact view instead, the filtering capabilities there are still too limited to meet this need.
I wish there was a way to avoid the lag time when removing people from a static list. Extremely frustrating that it takes a few minutes for the list to update correctly and sometimes pops the people you have removed back into the list after you remove them.
I often have to refresh after a few minutes to make sure it has worked, and then I am not sure who I have removed or not.
There was even huge lag time between posting my first reply and it showing up in this thread.
