How often will a dynamic contact list update?

We have a list with people without first or without last name. I have populated the data for 3 people. But the list remains unchanged at 1320 people. And those three are also still part of the list. I assume that HubSpot does some sort of caching here.

Can I force a refresh? How often does Hubspot update these lists? How long will it take for my number to update correctly?

As far as I know there isn’t any official information as to how often HubSpot checks and refreshes list criteria. (There is a knowledgebase article on the refresh rate of analytics based information but it doesn’t extend to lists.) It’s not possible to manually trigger a refresh.

For lists, I’ve found that in most cases it’s almost instantaneous. Portals with large numbers of records, a high degree of customization and automation (hundreds of workflows) might take longer (minutes, in some extreme cases with millions of contacts hours).

A common mistake with lists is that users look at the preview – not having clicked the Save button on the upper right of the list screen. In that case, the filters are not applied and HubSpot shows a preview that is usually wrong. Could you confirm that this is not the case?

Another way of troubleshooting would be applying the same criteria in a contact filtered view, under Menu > Contacts > Contacts. Find the More filters option in the center of the screen, re-create the list criteria and check if you can reproduce the issue.

Lastly, if you share a screenshot of the list criteria, I’ll happily check if something seems off.

I created the list, that Martin had the issue with, but I was able to identify the source of this error: I accidentily created a static list instead a active/dynamic list.

Still, after following your tip and re-creating the list as a dynamic list, it takes between 30-50 seconds after the list refreshes automatically. We currently have 94.500 contacts in our system, from which the filters display around 1300. Plus, 52 workflows and 57.000 customers. It seems as if this is already to much data, customization and automation to run “almost instantaneous”. From your experience, does this seems like the expected amout of processing time? Or does it seem like there is something off?

I wouldn’t consider it unusual, definitely within the realm of normalcy. For most automation, this short delay shouldn’t pose a problem.

With these short delays, there are some scenarios in which you want to make sure that one workflow fires before another. This can be achieved with short delays at the beginning of a workflow (1 to 5 minutes), for example if a property needs to be set before an automated email that uses personalization tokens is sent.
