Hi All,
I was just wondering is there an easy way to trigger a workflow when someone is un-responsive in a sequence? It seems quite hard, I’ve seen on sequences the details section, but can’t seem to find Details on workflows. Otherwise I would just simply trigger it based on these details. I’m trying if its been enrolled in a sequence ‘Email Replies’ is Unknown, Meeting Booked is Unknown and then was going to add a Call activity that theyve not connected means they are Unresponsive and their Lead is put to Disqualified at Lead object level. But Im worried that Im worried that everytime they go back in to the Lead Object theyll be disqualified etc. Does anyone have an automated way of, if someone doesnt respond set them to Disqualified Stage in Lead?
Hi @DCrinnion1,
If your goal is to disqualify a lead due to inactivity, I would simply create a lead-based workflow that enrolls leads based on this, then updates the lead stage:
You can of course further narrow down enrollment (to only enroll leads in specific stages, for example).
If returning leads are a concern, make sure to to also include a date filter for last sequence enrollment date (e.g. less then 30 days ago), so that leads don’t auto-close due to prior inactivity on previous leads.
Best regards
Hey @karstenkoehler !
Thank you very much for this. Do you find that sometimes automatic replies can trigger the ‘Recent Sales Email Replied Date’? Or is it quite trustworthy in this regard? Also may I ask if there is a way of ensuring that is we connect with any calls in this time, that workflow isn’t triggered?
Best Regards.
@DCrinnion1 HubSpot tries to recognize and ignore auto replies but there isn’t any guarantee, no. If accuracy is a concern, then an automatic process is not advisable here, unfortunately.
The workflow isn’t currently taking into account calls – but you can always add add a branch right after enrollment to check whether the lead is associated to a recent call. If yes, do nothing. If not (none met), you would close the lead.
Hey @karstenkoehler ! This is I believe my trigger, Ive added in Calls and just to make sure ive ensured that they are still at the ‘Attempting’ stage of the Lead Pipeline. Thank you very much for your help!
@DCrinnion1 is there a reason you split the filters into multiple filter groups and didn’t set it up like in my previous screenshot?
The filter for calls will not work, please see my previous reply / instruction to set up a branch.
Filtering for an assocatiation to at least one association call which is none of connected means that there can be other connected calls – as long as there’s at least one that’s not connected. You cannot filter for “none of” in HubSpot, only for “at least one is none of”. Hence the need for the branch right after enrollment.
Hey @karstenkoehler ! Apologies thats me not paying attention and putting it in multiple filter groups, I have now sorted that. I have now added the branch in that if the Lead is Associated to a call with a Connected Outcome do nothing otherwise Disqualify the Lead. Also thank you for the explanation for Calls, I was very confused but get it now!
Best Regards,
