We’ve seen that if we go back and update a Meeting Activity, even if it’s the “Team Notes”, HubSpot will ALWAYS send an updated meeting invite to the Contact. There is no way to stop this.
It’d be awesome if there was a “Save & Don’t Resend Invite” button so that if we are just updating the Team notes (Internal) the attendees don’t get an “Updated Invite” out of the blue.
Great idea - we need that! It’s happened to us a few times where all clients have received updated meeting requests. It doesn’t come across very professional.
This is a problem for us as well as we use logged meetings to track when sales demos happen. Sometimes we change the date for internal tracking purposes, but don’t want the update sent to the customer. I don’t see why this needs to be sent to the customer ever- what’s the purpose?
This has caused some issues for us. We’re trying to actively track meeting activity, so we often need to update the meeting times and notes. However, I don’t see why the recipients need to be notified of these updates, as it causes confusion and often results in follow-up messages to verify if there was an error.
I think this should be a basic feature? Just discovered now since my sales team needs to log meeting details on hubspot from now on, which they can do only after they have finished the meeting…
I’m not sure if this is HubSpot’s top priority since it was first raised in 2021. As a CRM focused on tracking meetings and time, this really should be a basic feature, as you mentioned @SMontagnani. I get so many replies from clients when im adjusting my meeting times after it has taken place.
Has this still been fixed? Went to edit a meeting as “completed” and it flags the meeting activitiy that an update will be sent to the attendee. There’s no reason to do this at all, it would be extremely unprofessional and really mucks with meeting tracking metrics if we can’t edit after the fact.
Encountered this issue today, and we’re hoping this get’s fixed soon. Amazing this thread has been open for four years now. We use meeting types for workflows and reports/dashboards. In our specific case, when our team receives a meeting invitation from outside it will of course populate on their calendar and create the meeting event on the contact record. But if they try to change meeting type or info on the activity within HubSpot, it would require them to “update” or resend the meeting invitation. Even with manual edits from our reps, this feature is fundamentally flawed the way it is now.
I saw this button on the Internal Notes box (Save and send update to attendees). However I think it is mislabelled. I am not seeing this being added to the actual meeting in Outlook. I think the internal notes are just that and the text on the button is misleading. I would love for someone to confirm this.
I’m Melissa, the Product Manager for the Meetings tool at HubSpot. Thank you so much for sharing your feedback here. We currently do not have plans for this work as my team is prioritizing some other solutions that are work in progress. However, I wanted you all to know that I saw and understand this feedback and will keep it in mind for future planning.
Today, we send calendar updates to attendees anytime there are updates to the meeting description, title, attendees, or date/time fields. We will not send updates for any changes made to internal HubSpot properties like outcome, internal notes, meeting type, etc. In the future, we will certainly evaluate the possibility of providing an option to not send updates even for externally facing changes.
Thank you for the update on the status of this. I do appreciate having HubSpot sync meeting record changes when they occur before a meeting has taken place so I don’t have to manually edit the record for things like re-schedules, cancellations, etc. but as others have noted, the issue is that sales teams often need to edit meeting records after a meeting has taken place for tracking purposes. Perhaps a quick fix could be a toggle setting to disable sending updates to attendee’s after a meeting date/time has passed?
It seems HubSpot is on the right track having separated internal meeting record property updates from client facing communication. Just a bit more customization for end users would be super helpful here. For example with my specific use case, the ability to edit the title and description w/out sending updates after the meeting is over would be helpful, as sometimes prospects book through a calendar link made to track one type of meeting, but during the call they want to discuss something different. I would prefer to just edit the meeting title and description accordingly to have it feed into reporting built on those properties without having to manually log a duplicate meeting record and delete the original.
Generally speaking I would prefer to manage sending calendar updates to prospects on my own, outside of the CRM. Having an option to maintain sync with Outlook but disable external facing notifications to attendee’s would be appreciated!
