Reporting on Activity Source for Emails and Tasks (Manual vs. Sequence)

Hi everyone,

We’re currently working on building a custom report in HubSpot to analyze sales team activities—specifically focusing on emails and tasks. Our goal is to generate a breakdown of activities created by users, with the ability to differentiate between:
- Activity creator (user)

- Activity source (i.e., whether the activity was created manually or via a sequence)

While HubSpot’s stranded “Completed Activities” report provides some valuable data, it lacks visibility into the “Activity Source,” which is important for our use case.

We’ve also reviewed this helpful community post:

If anyone has experience building a custom report that includes activity sources or has any tips on how to differentiate between sequence-generated and manually created tasks/emails in the same report, we’d greatly appreciate your insights!

Thanks in advance

Hi @HS_Chathura! Welcome to the Community-- happy to have you here

I am glad you found @tverdokhlib1’s reply helpful in that thread. Maybe he has more to add for your use case as well-- tagging ya in, Anton!

I want to invite some subject matter experts to see if they have any suggestions.

Hey @Alysha_TW or @danmoyle do you have any thoughts on differentiating Sequence tasks from manual tasks?

A thought I had is to add ‘created by sequence’ in the task title or description somehow to filter by the task body.

Hey there @HS_Chathura and welcome to the Community.

Like @kennedyp my initial thought is in the naming convention. Each sequence you build could include a specific character combination to help differentiate between manual and sequence-based tasks.

I also looked into my own Custom Report Builder in HubSpot and found this filter when Tasks is my primary data source:

“CRM UI” indicates that the record (e.g., a task) was created manually through HubSpot’s user interface by a user. It does not signify automation or sequence-generated tasks. Tasks created by automation (e.g., workflows or sequences) would typically have a Record Source value reflecting the specific automation tool or process used, such as “Workflow” or “Sequence.”

Hopefully that helps!
