Currently we have 3 avenues of logging outbound activities
1. Logging via Sequences within HubSpot
2. Manually logging outreach via the record
3. Gmail plugin integration
I am trying to build an Activity report/dashboard to show outbound efforts, however points 2 & 3 above log as Activities which is fine, however when logging tasks via a Sequence (calls, LinkedIn connections, LinkedIn Inmails) these are logged as tasks not activities.
This means that I cannot have 1 report that shows a mixture of Activities AND Tasks that is broken down by who created the activity (Created By field gives Unknown User for the Tasks that are logged)
What are you trying to measure exactly? Outbound activity reporting in HubSpot tends to come down to two things: the activities themselves (calls, emails, meetings) and the results of them (meetings booked, deals created).
For the activities, your best bet is activity-based reporting. In the report builder, create a custom report on the Activities object (or start from the standard “Activities” reports in the library) and filter by activity type (call, email, meeting), by owner, and by time period. Use Activity assigned to or Activity created by as the breakdown so you can see what each rep is putting out.
One thing that trips people up: logged vs. tracked. Manually logged calls and emails count differently from automatically tracked emails, so your team needs to log consistently or the numbers won’t line up.
If you’d rather measure output (meetings booked or deals created out of outbound) than raw activity, you’re better off with a deal or contact report built on a property that marks the source. Let me know which way you want to go and I’ll help you set up the right one.
I’d separate activity capture from activity quality.
For reporting, I would not treat all activities equally. A sequence step, manual email, Gmail-plugin email, call, task completion, and internal note can all show “activity,” but they answer different operating questions.
The report I’d want is:
buyer-facing touch vs internal activity
channel used
first touch date
latest touch date
next expected action
overdue / inside SLA / missed
That way managers can see whether real outreach happened, not just whether HubSpot has activity on the record.
This matters especially if reps mix sequences, manual sends, and Gmail plugin activity. Without a stricter definition, the report can look active while the actual sales process is still inconsistent.
Max, strong distinction on activities vs outcomes.
The thing I’d add is that for response reporting, I’d separate “activity exists” from “first real buyer-facing touch happened inside SLA.”
A logged call, tracked email, task, or internal note can all make the record look active, but they do not always answer whether the lead was actually worked fast enough.
For sales teams, I’d want a view that separates:
first buyer-facing touch
touch type
contacted inside SLA vs late vs untouched
outcome: replied, meeting booked, deal created, or no response
That gives managers a cleaner exceptions list than raw activity volume.
