I work within sales and we have trouble integration our consulting business into Hubspot.
Is there any way or best practice for a service order process in Hubspot? We have to maty systems och platforms for our Corse business and this seems lika an issue that could be solved by moving the process into hubspot.
Im gonna give you an example for the sake of clarity.
I have come to an agreement with my customer that he wants to buy one of our networking consultants for X money/hour.
I want to Order that project in Hubspot, so the consultant can report the hours spent on each project line.
In the order i could use existing information about the customer, customer contact etc for smooth effective handling and to minimize errors.
I will then manually choose between some configured consultats roles, for example, Proffesional service or Solutions and add the agreed hourly rate.
When i have enterred the information, the order contains everyting needed for Reporting, invoicing etc.
The Consultant recieves the service order and can then report the amount of hours put on the project.
Through reporting or some sort of function wi can export and invoicing report for our finance department.
On the wishlist the invoicing is automated aswell.
Please, if there is a best practice for this, i am very interrested!
Thanks for the tag Pam! Hi @NiklasKling there’s a lot of questions there which could potentially have a lot of nuance to them, it’s impossible to provide a complete solution without having more in-dept knowledge of your processes and company, but I’ll try provide some guidance which might help point you in the right direction!
I’d use two objects to track what you need to though, deals and line-items. For each customers request I would create a deal, for example “network migration for company name”. Then this would have line-items associated with it, the product in these line-items could be “1 hour network consultation”, and you could have a quantity of 4 of these for a 4 hour consultation.
Line-items can automatically create invoices/quotes in HubSpot which you can export if required to send on to a finance team or customer.
You can also report on deals by their amount, cost, create date etc. It sounds like this might be what you’re looking for! Sales reports.
Thanks you for the answer @TomM2 , appreciate it!
I understand the difficulty in providing an complete solution based on my loose description.
Well, your tips will do well in our solution, but the most tricky part here is not mentioned. Perhaps i missed out on mentioning it in my first post, but here it goes (another loose description )
After the deal is set with the accompaning line-items, we wish that the assigned consultant can either report the worked hours or through an integration with “Float” (Our resource planning software). That way we have a ready to report invoice with the correct data.
Do you have any thoughts about that?
