Notify Task creator on task completion

Looking to create a notification to the task creator thta the task they assigned is completed.

I did not see such ooption in the task tool and did not find a way to crate a workflow that will implemnet thsi need.

Appreciate ideas on how this can be achieved.

You’re not alone in wanting this feature — there’s already a HubSpot Ideas post for task completion notifications, but we haven’t heard much from HubSpot since 2020. I still encourage you to share your thoughts and use case in that thread though!

It’ll be tough to create a workflow here since everything has to flow through the contact/company record with which the task is associated. You could try the following enrollment trigger to see how close it gets you:

That’s not guaranteed to pull in only the contacts associated with tasks like you described, but it could be a start.

Honestly though, I feel like you’d be better off with some sort of manual step here that you can include in the task description, like:

  • Updating a property/moving a deal stage — you could use that as your trigger for a workflow that would notify the needed team member or assign them a task
  • Tagging the needed team member on the record to confirm that the task has been completed

That’s not a perfect solution, but it’ll give you tighter control than the above workflow.

Lastly, consider creating a dashboard for your users who create tasks for others. Using criteria similar to the above workflow, you could create reports that show open and completed tasks created by specific users where they aren’t the owner. You could also create a report that would show overdue tasks that they created and assigned to other users. They could check that dashboard each day to see what still needs to move and get in front of the needed team member.
