Multiple Lists in a Workflow

Hi

I have a list of Managers and a List of Sales and a list of Service people. In a workflow is it possible to add multiple lists of contacts. As an example I create a workflow and add the three lists above?

Hi @JGray30

Yes you can select multiple list membership as enrolment trigger, just make sure the different lists are connected with “or” criteria.

Without context, I am wondering though if 3 different workflows might make sense or is the same thing supposed to happen to this very diverse group of roles?

Hello @JGray30 ,

Yes, you can definitely use more than one list to enroll contacts into a single HubSpot workflow. Here’s how you can set it up depending on your preferences:

  • Create the Workflow

    • Go to Automation > Workflows
    • Click Create workflow and choose Contact-based
  • Set Enrollment Triggers

    • In the enrollment section, click + Add enrollment trigger
    • Select “List membership” and choose “Contact is added to list”
    • Pick your first list (e.g., Managers)
    • Click + Add enrollment trigger again and repeat for other lists (e.g., Sales, Service)
  • Define Your Actions

    • All contacts from these lists will now flow through the same workflow
    • If you want to customize the experience based on which list they came from, use if/then branches to tailor the journey

Let me know if you’d like help setting up list-specific branches or want a walkthrough of this process in your own portal!

Hi @JGray30
Yes, you can absolutely enroll contacts from multiple lists into a single HubSpot workflow.
To do this, use list membership filters with OR logic when setting up your enrollment criteria. Here’s how:

  1. In the workflow editor, click on Set enrollment triggers.
  2. Select List membership as the filter type.
  3. Choose your first list (e.g., Managers).
  4. Click OR, then add your second list (e.g., Sales).
  5. Repeat for the third list (e.g., Service).

With this setup, any contact who is a member of any of the selected lists will be enrolled in the workflow.
If you want each list to trigger a different set of actions, you can add If/Then branches within the workflow based on list membership. This allows you to tailor the workflow experience for each group.Let me know if you’d like help setting that up!
