Hi, I am trying to get HubSpot to take over my CRM from an Excel spreadsheet.
I have imported most of my contacts successfully but I have one issue.
We are a construction company and we deal with letting agents etc. The problem is that, obviously, they look after many properties and one person may be the point of contact for a large number of them.
Is there any way that I can get HubSpot to allow me to have the SAME name/email address/phone number for MORE THAN one record as this is really causing problems for me?
The short answer is no. The email address is the unique identifier in HubSpot. (If it wasn’t, that would have implications for consent, email confirmation, deduplication and many more areas. A lot of HubSpot features couldn’t function they way they do.)
One option not mentioned in the thread would be adding the second contact without email address and pinning a note to the original contact record. This note could include the email address or simply state that all contact from the company are sharing the same email address.
If you’re planning on emailing this contact from HubSpot, there isn’t any way to separate email communication between two contacts sharing an email address. It’s simply not possible, unfortunately.
Another way to think about this could be association labels. You could use these to describe the relationship of a letting agent to another object that you store properties in: Create and use association labels
One contact can have many different associations to other objects.
I’ll echo Karsten above and encourage you to look at association labels. That’s really how Hubspot wants you to work with it.
We have property management companies that we do work for their managed buildings. We have single contacts associated with a large number of seperate properties and we use association labels. We like them because we can tag a single contact with the correct associations to individual properties.
So for example Jane might be a “property manager” and the “billing contact” for Building A, while she manages Building B, but the “billing contact” is Jim.
For us, we took the added step of have Buildings set up as a custom object…
So…
1. A Property Management Company can have many “Property Managers” and many “Buildings.”
2. A Building can have many contacts with association labels (“Property Manager,” “Billing Contact”, “Owner”, etc…)
3. A Building can have many Deals for the work we perform.
4. The deals can have their own contacts with their own set of association labels.
I think this solution will be similar to what you are looking for and much less headache than getting hacky with contacts.

There is a workaround Karsten didn’t mention.
You can just place a “+1” infront of the email and then it also gets sent to the right adresser/you can have the same email on different contacts. have different first/ last names / enroll them via workflow and sent it to the one email adress that you saved across the different contacts
The Emailadress would still contain the +1 but it would go to the right email like you see below:
So it would look like this:
1. anna@email.com 2.anna+1@email.com
You can create/automate this in a workflow by splitting emails up into two parts (properties) and putting them then back together.
