Is there a way to sort duplicates or search for them? Sometimes when I’m in contacts and see a duplicate I can’t easily go in and merge because I have a ton of duplicates (personal emails vs employee emails) and sometimes have to sort through pages to find them where it could just be easier if we could alphabetize or better yet search for the specific name or email?
Hi @CoryKirk,
In Professional subscriptions, there is a duplicate tool: Deduplicate records in HubSpot
If you don’t have access to that (in the free CRM or a Starter version) or if you’re looking for a more robust tool, then Insycle could be an option. It’s a strong data quality tool that integrates well with HubSpot: HubSpot Data Standardization & Cleansing | Insycle
Best regards!
No. I do have the manage duplicates tool but I have pages of duplicates because we do have a ton of personal vs business emails that I can’t merge together because the personal email addresses are utilized for specific emails. So if I’m in my contacts and see a duplicate and go to manage duplicates I have to go page by page to find the duplicate instead of just being able to sort alphabetically or search for the specific contact I’m looking for. I was hoping this could be something Hubspot could add as a function if I could not get an answer here.
Hi @CoryKirk,
That’s unfortunately unlikely. This is currently a Professional feature and I’m not aware of any native workarounds. A third-party solution like Insycle is probably your best option.
Best regards!

For anyone out there looking to understand more about Insycle - we created this quick 12-minute webinar showing how to use Insycle for deduplicating records in HubSpot (or HubSpot & Salesforce!).
Hi @CoryKirk,
Thank you @karstenkoehler for recommending Insycle. I work there as a product marketer and just wanted to pop in here to provide a little more context about Insycle’s duplicating merging features for HubSpot.
Insycle allows you to identify and bulk merge duplicates, in bulk (and automatically) using and field in your HubSpot database. On top of that you can use exact or similar matching to catch more duplicates. Then, you can choose what data is retained in the master records that your duplicates are merged down into on a field-by-field basis, using advanced rules.
So for example, maybe you want the Deal Amount to be retained from the most recently updated record, but you want the email retained from the record that has the most email opens. It’s very flexible.
Then you can automate your templates to run on a set schedule, or even inject them into existing HubSpot Workflows, so duplicates are identified and merged after they enter HubSpot CRM and before your first communications go out.
