My client, a large enterprise with a substantial contact base of over 300,000, is currently facing a critical issue. I’ve spent a significant amount of time today manually building a list to locate all contacts owned by deactivated users. This is a pressing matter that needs immediate attention to get these contacts back on Sales’ radar.
Due to the business’s size, there are dozens and dozens of deactivated users. When I add another person to the list, it automatically regenerates the preview. The list is quite long so the UI is grinding to a halt and bringing Chrome to its knees.
If I save the list, I have to start over selecting users. The window that shows users is too short…it only shows a few people at a time. And each time I hit ‘load more’ I only get a handful added to the list. This is tedious.
We need a way to build a list only after all criteria are added and not be forced to wait on these immediate previews.
We also need a user management screen that shows:
Users by active/deactivated status
Number of contacts assigned to each user currently
A system alert that notifies the admin(s) that this condition has occurred and to resolve it asap
Having a way to reassign contacts with a workflow or other automation method from a deactivated user to an active one would be extremely useful.
I’m dealing with a similar issue as well. There needs to be a way to filter to only objects owned by either active or inactive users. This should be available on all pages (report building, list building, views etc.). The current process makes building dynamic products difficult since filters have to be continually updated.
Having an option to only have a list refresh when requested would be a major improvement. This feature is already available on report building and would be great to bring to list creation.
Major upvote!
I would also like to be able to filter assigned assets (contacts, tasks, etc.) by the status of the assigned user. If this isn’t done when deactivating a user, they are impossible to find without creating a list of individual users, as you have noted.
Yes agreed! Deactivated user management, such as contact ownership transfers, would be awesome to do in a worflow without choosing individual deactivated users.
I was recently able to solve this in an automated way. It requires a few steps to be set up first to run automatically.
Go to contacts > Advanced filters > Contact Owner (or any owner property) is equal to any deactivated user.
Create an active list from this filter. This saves you from having to manually select all deactivated users during list creation.
Create a user based workflow that triggers on the Deactivated = true property.
Create a custom coded step that fires in that workflow and hits the Owner API to determine the Owner ID of the deactivated User. The custom code then needs to hit the list API to append the Owner ID to the filter of the active list you created in Step 2.
That’s it! Now you have an automated, dynamic list that appends deactivated owners to your filter group so you can always have a list of contacts who are assigned to any of your deactivated users.
