Manage Automatic email associations

There needs to be a way to change the default automatic email association behaviour. The default is as follows:

“Activities logged on a contact record will be automatically associated to the record’s associated company and the associated five most recent open deals. Open deals are deals that are not in closed-won or closed-lost deal stages.”

We need a setting to opt out of automatically associating emails with the 5 latest deals unless the email is sent from the deal withing hubspot. We have a lot of users on outlook who will be communicating with the same contact for both sales and production related information and we are geting 100’s of production related emails associated with deals with which they have absolutly no connection! This makes it very hard to find emails actually related to the deal you are working on.

Has anyone found a solution to this? We have the same issue and DO NOT want emails associated with deals in the manner that HubSpot automatically does it. We use the Outlook desktop plug-in. We have many deals open on an account that have nothing to do with the email being sent. It causes major issues.

We’ve found at our company too, that using the email tool within HubSpot creates all of these unnecessary associations too. Sent an email to all of our clients and now they’re associated with each other and there are hundreds of threads that are found on every client record. When I spoke with a HubSpot agent about it, there’s no solution at this time. I’d like to be able to turn these automatic associations off or at least set rules for them if they have to be there. It’s caused a real mess for us.

I would very much like to limit the number of default associations for all of my HubSpot users. This is both regarding logging via outlook, and also when I create a activity on e.g. a contact within HubSpot.
In outlook I would like by default to associate only on the contact level and NOT a deal or company.
In HubSpot I would like to only associate on the level i’m making a activity on. Example: I’m creating a note on the contact level, but this note will also be associated with the associated company, which for us don’t make any sense.
Please help solve this as it creates a lot of “noise” on all irrelevant levels.

Yes setting our own associations, would be great the automatic associations is creating to much noise

and conflict with other emails

Same here, we have some customers where multiple simultaneous deals are being discussed, when the mess created by the default association logic is causing lots of confusion

Yes when will hubspot start to listen to sugestions.

Do we all need to start going to other platforms before they start to listen.

Also if they do make the changes not only for the very high next level subsription fee group.

Is there any fix to this yet? We’ve recently installed Hubspot in out company within the last 9 months, and the email associating with 5+ deals is causing CHAOS! Litteraly, its getting to the point where we’re looking at switchinn to another provider alltogether.

So annoying when theres so many cool features within Hubspot, but the absolute basics such as this are overlooked.

Talking to others about in a networking session it seems we’re not the only one to experience this issue eithier…

This is a major issue that frankly makes the Hubspot inbox completely unusable for me (legal work and it associates forwarded emails with the original sender who may not be the client and may be a counterparty). More than 3 years after the original post and no reply from HubSpot on this.

Yes, fully agree. Very frustrating, and definitly a lack of support from Hubspot’s side on this. Does everyone have this same issue, or just a select few because of the way its been setup? Surely if everyone had the issue it would be a crisis within Hubspot and they’d loose business overnight…have a hunch its the way its setup somehow…???
