Choose to allow automatic association of activities between records

Currently you can control when creating a deal or a ticket whether to have the past activities of the assocated contact or company added to the deal/ticket record, but you can not control the automatic association of activities between records, after the ticket/deal is created.

Generally, activities logged on a deal record will be automatically associated to the record’s associated company and activities logged on a company record will be automatically associated to the record’s five most recent open deals.

There is no way of controlling this and it would be useful to be able to turn off this automatic association if wanted and to choose to log activities manually between certain records.

Company ABC has 10 deals running with us. 5 of those 10 deals are associated with contact Jeff.

If one of my colleagues now sends an email to Jeff about a warranty issue totally unrelated to any of these 10 or 5 deals Hubspot automatically associates this email with the last X open deals associated with Jeff.

I don’t even see when this automatic association would make sense?

It seems like this would be an easy fix since you can create new associations and turn off those from automatically happening so why can’t you turn off defaults?

I’m in total agreement. Emails to the contact are being associated to unrelated deals

You can remove deals association in the Log and Track Settings in the add in and the Outlook Sales Extension Outlook.

I agree this is pretty important. When logging a LinkedIn message, we don’t want it to automatically associate with a deal. We have many contacts that have several deals going on, it’s a pain to manually uncheck this every time.

SUGGESTION to FIX this HUB auto-assign “feature”:

IF logged email Contact is “associated” with >1 Deal, do not auto-assign email to Deal

THEN PROMPT USER for input for which Deal to link to

Or remove the auto-email assign, as this is not a practical real-world design feature.
ALL emails to/from an “associated” contact will not always be related to the Deal.

If the email is Deal specific, it can be done from the Deal or manually linked to the Deal until you can increase the data quality control code.

I believe it should be a pop up that reminds people to disassociate or associate.. it is very frustating when you create a deal and it is immediately polluted with every email the company has ever had. we have several deals with the same company, and even several deals with the same person.. and once you connect the deal with company or contact it is polluted with everything. the deal should only have information on it after the create date.

Alternatively, why when you disconnect a company from a deal or a contact why does the emails associated to that company or deal, not also disappear?

I am in complete agreement. When I go to a particular Deal, I do not want to see any irrelevant emails within the history simply because they are associated with the same company. Take for instance a very large company like Edward Jones.

I would like every email, call, note etc to have a prompt at point of saving, asking if you want it to be associated to any deals (or anything else you want to associate to!)

Failing that, as default nothing is associated to anything… you have to manually associate yourself.

Would like to bump this up somehow - our deals are being COMPLETELY polluted with un-needed information that is being emailed/created…

+1, call activity automatically logging to the 5 most recent open deals is creating irrelevant data across deals.

Hi folks -- This feature is now available for activities logged through the CRM UI and external emails. There are some cases where we continue to follow default association logic (e.g., calender sync).
We are looking to evolve this feature to be more consistent. Please use this thread to share which sources are most problematic.
