Logging Whatsapp messages

Hi, I am on a mission to find the best solution for our sales (and revops) team for centralizing all communication with propects.

2 years ago I submitted idea 1106638 about the same topic.

I have to admit it’s even shocking there isn’t more noise on this in the community, because it is definetly something that we are missing.

Maybe I am missing something, but would love to learn if there is a good integration for logging Whatsapp and Txxx conversations from personal accounts.

Similar to the native way HubSpot logs and tracks emails, meetings, and LinkedIn messages, would be good to have a native way to track other communications.

(Not for customer service as an inbox, but having each sales rep’s personal conversations pushed into the correct HubSpot contact/deal)
In the past I found NisWey, which was not approved by our security team. I see that TimelinesAI have the option to push Whatsapp messages, will check this option as well security-wise.

Any tips here?

This leaves us with no communication information on the APAC and LATAM prospects and clients who prefer to communicate over the mentioned apps rather than emails, and this is getting more common everywhere.

This is crucial to our business and meanwhile we are losing valuable data.

Hi Sharon

Thanks for raising this again — this gap is becoming more and more critical, especially for APAC and LATAM sales motions.

I’ll loop in a few Community members who’ve looked closely at WhatsApp/Txxx logging for sales (not inbox-based support).
@danmoyle @abhinavsahai @HubDoPete — have you seen any security-approved, scalable ways to log rep-to-prospect WhatsApp (or similar) conversations from personal accounts into HubSpot contact/deal timelines? Any integrations, patterns, or hard limitations worth calling out?

Appreciate any insights you can share.

Victor

HI @Victor_Becerra thanks for the mention!
@SharonM Well, you already know about our solution, that makes my job easy. The good news is, and I am not making this up, we just got SOC2 certified literally yesterday! I believe your security team will allow you to use our app now. Happy to get on a call with you, let me know!

Beyond the marketplace apps mentioned, I’ve built custom WhatsApp logging solutions for clients using a middleware approach that might help:

**The Architecture:**
1. Deploy a lightweight Node.js server that connects to WhatsApp Web using libraries like `whatsapp-web.js` (runs on each sales rep’s machine or a secure VM)
2. Parse incoming/outgoing messages and extract contact phone numbers
3. Match phone numbers to HubSpot contacts via the Search API
4. POST messages as Engagement objects (via `/crm/v3/objects/communications`) or Timeline Events to the matched contact/deal

**Key Implementation Details:**
- Use HubSpot’s phone number property to match WhatsApp contacts (normalize formats with libphonenumber)
- Store WhatsApp message metadata in custom properties: `message_direction`, `platform_source`, `message_timestamp`
- For security: Deploy per-rep instances with read-only HubSpot Private App tokens scoped to only `crm.objects.contacts.read` and `timeline.events.write`
- Handle media attachments by uploading to HubSpot Files API first, then linking in the engagement

**The Limitation:**
WhatsApp’s Terms of Service technically prohibit unofficial clients for business use. This approach works for small teams but may not pass enterprise security audits. For compliance-critical orgs, you’re stuck with official WhatsApp Business API integrations (which don’t support personal accounts).

If your security team allows it, this DIY route gives you full control without vendor lock-in.

Thanks for this detailed explanation @amjadkhatri !

Our team have over 25 sales reps so not sure I can maintain so many API tokens and handle the security issues.
@abhinavsahai we’ll be in touch :slightly_smiling_face:

And thanks @Victor_Becerra for the tags

Hey @SharonM - since we Americans are a stubborn bunch and refuse to adopt WhatsApp (I personally had no idea until we had a an exchange student from Argentina and still use it with her!), I’ve found the same frustration. Now with my team, we use it a ton because we’re spread out around the world. But anyway… I understand your disbelief. I’m with you.

I like the suggestion from @amjadkhatri below. If you’re able to work with a dev type mind, or have your own in-house, something like that might help. Otherwise I’ve seen clients use integrations to varying degrees. Here’s a list of some I’ve heard about. Not verified to work “best,” or to pass inspection by security teams. But just a short list to help in your search.

JustCall: Calls, SMS, and WhatsApp logging. This HubSpot integration says it can log calls, SMS, and WhatsApp as activities or timeline events against contacts, with options for how each direction/event is stored. It’s more “telephony‑centric”, but for teams that want calls + SMS + WhatsApp in one place, it’s a strong candidate and easier to standardize than bespoke solutions.

HelloSend (community‑recommended): SMS + WhatsApp in one app. This one seems to be built to plug SMS and WhatsApp directly into HubSpot so every conversation is logged on the contact/ticket timeline and available for reporting. It does support 1:1 and bulk, plus workflow‑triggered messages, making it easier to have APAC/LATAM comms show up alongside email/call logs.

Or I also see @abhinavsahai jumped in with timely good news. I’d probably jump on that offer to chat!

Anyway, hopefully that helps some. Cheers!
