Linking property options?

Hi there,

We recently started using HubSpot for out marketing and CRM needs. For one of our needs we use custom properties to link our employees to deals and contacts. Not every member of our organisation has a HubSpot account (some are not of the ‘digital era’), hence we created a custom ‘multiple checkboxes’ property with all the names of our emloyees. We have created this property (with all of the employee names) for multiple instances.

Propblem: Doing this with a custom property creates a new problem: keeping the list of names up-to-date, within multiple properties.

Solutions?: I looked into automating this proces via workflows and i came to the conclusion i wont be able to solve this myself without any help. I know i can copy the proprty value of a contact to another property, but i cannot find a way to copy property options to a different property.

What we want it to do: link the ‘property options’ of a property to another property and keep them updated.

I would like to know if there are more people with a simular case and how they made it work. All suggestions are welcome!

Just to confirm, you want a workflow to create new options in a property which weren’t there before copying the value? If so, this isn’t possible out of the box. It would require an Operations Hub Professional subscription, custom code actions and the help of a developer.

Have you considered simply inviting all the users into HubSpot? They don’t have to use HubSpot, just sign up once. That would allow you to create a “HubSpot user” type property.

That is indeed the process i was referring to. As where you keep one property updated that translates to other properties of the same style.

I was just talking to our IT department regarding a dummy account solution, one that is interchangable might they want to start using HubSpot after all.

So if i understand you correctly there is an option to create a property that derives options from the active HubSpot userbase? Which would mean that the only thing i need to do in order to keep the options up-to-date is create a profile for every new employee?

Correct. When you create a custom property, simply select the property type “HubSpot user”: Understand property field types in HubSpot

It’ll auto-update with all users. It essentially behaves like the “Contact owner” field.

This makes sense. I think we can conclude that i have taken an unnecessarily difficult path with my approach. Thank you for your knowledge!

Even tho this solution was very promising, we are encountering a new obstacle with this method. Our current custom property allows us to link multiple employees to a contact (for cross selling purposes). However the HubSpot user property does not give me the option to select multiple employees. I cannot find a way around this. Is there anything i can do about this without creating the same property with different numerals? It would clutter the property data base.
