Automated email reminders for invoices
October 16, 2024
What is it?
Automated email reminders enable Commerce merchants to easily set up email reminders to be sent to their customers who have an open invoice. The reminders can be schedule to be sent before, on, or after the due date, ensuring timely payments and reducing the hassle of manually tracking and following up.
This feature is currently available to users who are enrolled in payments.
Why does it matter?
This feature is for merchants who have sent HubSpot invoices to their customer, and the customer has not yet paid their invoice. Instead of manually tracking and following up with customers, merchants can set up automated email reminders that are scheduled to be sent before, on, or after the invoice due date. The email reminds the customer to pay their outstanding invoice.
How does it work?
This feature is available to payments-enrolled users.
Navigate the invoice settings and click on the new Automation tab.
Under “Templated Automations”, see the option to “Send reminders to customers to pay their own invoices”.
Users will need to have a “default from address” and a team email address set up (which can be done at Settings → Tools → Inbox & Help Desk → Inboxes → Connect a channel.
Turn on the toggle for email reminders. The default reminder schedule is “on due date”, “7 days after due date” and “14 days after due date”, and the default reminder send time is 9:00AM.
The reminder schedule can be edited to be “on due date”, “days before due date” (maximum value is 7), or “days after due date” (maximum value is 99). Users can set between 1-5 reminders.
Click on the Preview button to preview the email.
After saving the reminder schedule, users can open the invoice sidebar to view when the next reminder will be. Users can also navigate to Actions → Edit reminders to confirm or cancel upcoming reminders.
If the invoice due date is edited, the reminder schedule will be updated according to the reminder settings.
