Internal Feedback/Form attached to Custom Object

I am looking for a solution to gather INTERNAL post event feedback. I am hoping to use either a feedback survey or a form, I am open to either. Our project managers are assigned to custom objects. What I am hoping to achieve is an option to trigger/send either the survey or form to our internal assigned contacts from the custom object, and to have those details then attached as a custom object property. What I am struggling with is which to use (survey or form) and how to properly have it trigger and send to the approrpirate parties while only saving that submission against the corresponding custom object.

Hi @MTorres00 ,

HubSpot Feedback Surveys only associate responses directly to contacts; they can’t natively link survey responses to custom objects. In contrast, HubSpot Forms offer more flexibility with custom objects and are better suited for your needs:

  • Flexibility with Custom Objects: Feedback Surveys work well with standard objects (Contacts, Companies, Deals, Tickets) but don’t support direct submissions tied to custom objects for property updates.
  • Custom Data Collection: Forms allow you to create any fields needed to capture specific feedback points like “What went well?”, “Areas for improvement?”, or “Overall satisfaction rating.”
  • Direct Property Updates: Forms can update properties on associated records, including custom objects, which fits your requirement better.

So, choosing HubSpot Forms over Surveys is the recommended approach.

Recommended solution workflow -

  1. Create a custom object for feedback submissions - Set up a new custom object (e.g., “Feedback Submissions”) to store each feedback entry as an individual record. This way, multiple feedback responses can be linked to each project or custom object record.
  2. Pass the custom object record ID via personalization - When sending the form link, include the associated project or custom object’s record ID as a query parameter in the URL, for example: https://yourformurl.com?project_id={{customObject.hs_object_id}}
  3. Capture the record ID in the form - Add a property to your “Feedback Submissions” object to store the project_id. Configure the form to capture this value, using either an autofilled or hidden field.
  4. Associate feedback submission back to the project - Use workflows or custom code (like a HubSpot custom code action) to link the feedback submission record to the relevant project/custom object based on the captured project_id.
  5. Triggering and Sending - Send the form via a workflow triggered by the custom object (e.g., when a project’s status changes). This ensures personalization tokens for the custom object are available to dynamically generate the form URL.

This process ties feedback responses cleanly to your custom objects and supports multiple feedback entries per record.
