Importing duplicates

looking for ways to accomplish this task.

i have a spreadsheet that i will be importing on a monthly basis. it contains email address, start date and end date.

i created 2 new properties in HS to capture this. worked perfectly first time last month. fast forward to this month. i run the import and it created 10 new contacts but found 25 duplicates which thankfully did not import as it would overwritten my existing start/end dates. how can i successfully run an import to capture these duplicate email addresses with different start/end dates? was not hoping this would be complicated..but now it is..the dates are critical in the WF…

Hi @SJeremias,

Can you explain in a bit more detail what your import sheet looks like and what your intended outcome is?

HubSpot deduplicates by email address - this cannot be turned off or bypassed. If a contact exists under an email address already and you import a row from a spreadsheet with the same email address, HubSpot will attempt to update that record. You can specify for each mapped field whether an existing value should be overwritten in the mapping step of the import process.

If your import file contains multiple rows with the same email address, that is not something that HubSpot can handle. You would have to deduplicate your sheet first so that each email address only occurs once.

Please share a bit more context and I can elaborate. If you could give an example, that will also help. Should the start and end date be kept? If an email address appears multiple times in the import file, what exactly should happen?

Best regards

thanks for your note.
so the import file is basically email address, start date, and end date.
these are dates i am capturing to use in a workflow to be reminded of
(subscriptions).
as the first time i imported it worked fine.but this month when i ran the
import (35 lines) i had 10 new records and it flagged the others as
duplicates based off email address.
i did not import them as i cannot overwrite the start date and end date. so
i need to find a way to capture these additional dates and enroll the same
contact into the workflow…hope that makes sense.

@SJeremias when you choose to create and update contacts, in the mapping step, you would simply choose not to do verreite the date fields. You shoul see an option to the right.

Can you explain more about the workflow enrollment? If enrollment is date based, why should the import trigger enrollment?

thank you!
correc t- i would not over write.
but i need the dates imported to trigger the workflow to remind us in 90
days to email the person with a link to pay/renew.
i know its complicated…but i didnt know at the time that i would be
dealing with duplicate email addressees and different start/end dates.

A regular import, choosing not to overwrite the date fields, would solve the issue then. Feel free to share a screenshot of the mapping step and I can confirm. But generally, that’s it.

correct but i do need the new dates for that duplicate email address..
just need to figure out how to capture that and not overwrite the existing
data.

@SJeremias I’m not following. I thought you didn’t want to overwrite existing data? What exactly would be the duplicate? Could you please give a detailed example?

You can’t both import new data into field A and B and not use verreite existing values in field A and B.

If you give an example or describe what exactly you’d like to achieve, I can help better. Currently, it’s not clear to me what the issue is exactly.

its hard to explain i know.
the contact email address will be duplicate with start date and end date
(classified ads).
i cannot over existing data as the workflow works from these dates to
remind us = and send a payment link to the contact .

@SJeremias I can’t help if you’re not explaining this in more detail or provide an example. This is too high level to provide a solution.

let me try again!
this will be a monthly import, the excel contacts email, start date and end
date. just 3 columns.
i am use the dates to enroll into workflow to remind me of end date to
notify that contact of upcoming expiration…
on the import this month, it flagged that there were duplicates - so i
opted just to create the new contacts as i cannoot have the import
overwrite existing start/end date as they are critical to the workflow.
how can i capture the duplicate email with additional start/end dates..
does that make more sense?

@SJeremias how many different start and end dates can a contact have at the same time?
