HubSpot <> Salesforce Integration - Salesforce Assignment Rules doesn't work

Hi,

We are using the HubSpot <> Salesforce Integration, and the when a contact is created in HubSpot and passed to Salesforce, the lead assignment rules doesn’t work to change to the right owner according to the Country field that is passed to salesforce.

How we can solve this? thanks.

Hey @OBetzalel, thank you for posting in our Community!

It sounds like there might be an issue with how the Country field data is being processed between HubSpot and Salesforce. I recommend checking the integration settings to ensure the field mappings are correct. Additionally, review the lead assignment rules in Salesforce to confirm they are set up accurately.

To our top experts, @matthew-aire and @evaldas any recommendations for @OBetzalel matter?

Thank you,

Pam

Hi @OBetzalel

Could you add some more information please on how Owners are being assigned. Are contacts being assigned a Contact Owner in HubSpot first, and then when they are synced to Salesforce the Lead Owner in SF is being assigned to someone else, and not following the criteria you have created in SF?

Thanks,

@matthew-aire @PamCotton Hi,

In HubSpot the contact is assigned to an owner. And when it sync to Salesforce we want the assignment rule to run and change the owner according to the Country we defined in the assignment rule (The owners are not the same in the systems), the country seems to be passed right.

Hi @OBetzalel

Thanks for the update. Is it essential that the Contact is assigned an Owner in HubSpot first? If not, you could leave the Contact Owner blank, and when they’re synced to Salesforce with the mapped country field, the Salesforce Contact Owner criteria should then assign the correct owner which would then reflect as the Contact Owner in HubSpot.

Can you also ensure all Users in HubSpot are set up in Salesforce too?

Let me know your thoughts on the above.

Thanks,

@matthew-aire We will check and let you know how it goes, by the way - we use a formula field in the assignment rule in salesforce, but it seems it is legit as salesforce created this recommendation to create - https://help.salesforce.com/s/articleView?id=sf.essentials_round_robin_lead_assignment.htm&type=5

Thanks!!

Thanks for the update. It might be that the formula can’t override the owner field or something is missing in its code.

I would try what I suggested above by leaving the Contact Owner blank in HubSpot initially. See if SF can then assign a Contact Owner based on the formula and then hopefully when SF syncs back to HS it will assign the correct Contact Owner in HubSpot.

@matthew-aire Alright, we will try and I’ll get back to you with it (as we don’t have access to the HubSpot system of this customer).

Thanks!

No problem, and make sure the Users that are being assigned in SF are also Users in HS. This could be causing an issue also.
