HS & NetSuite Integeration

I’ve been working with my company for a couple of weeks to figure out how to integrate deals from HubSpot into projects within NetSuite. I believe there is no current, “straight” integration ability to do this. Has anyone dealt with this before?

Any workaround they would suggest or advice?

Thanks!

Hey @HBohler,

Out of curiosity what sort of behaviour are you hoping to achieve? Is the use case when a deal is closed/won that it creates and continues to sync to a specific project in NetSuite? If you can let me know a little bit more around this that would be helpful.

What you’ll find unfortunately is that most of the standard integrations within the ecosystem (including HubSpots own native solution here) tend to only support syncing Deals to Opportunities (not Projects). With that said, possible options include:

1) Custom Integration - Building a bespoke integration using a combination of HubSpot APIs and NetSuite APIs to cater for your requirements. Whilst it will solve for all of your functional requirements it will come at a cost (time, money and resource). Not to mention the longer term maintenance of the integration and hosting.

2) Custom Coded Workflow Actions - Explore creating custom coded workflow actions that can be used in a deal based workflow that would call the NetSuite APIs when conditions are met or whatever cadence you’d like. This would require Operations Hub Professional but massive benefit being that it’s hosted on HubSpot.

3) iPaaS - Leverage an iPaaS solution and use a vendor such as Make, Tray, Workato or Zapier. The benefit to this is that they’re low code/no code platforms and often times can help to solve for these types of issues. I should add that this isn’t an exhaustive list, there are hundreds of options out there. The platforms above happen to be the ones I’ve experience with.

I hope this is in someway helpful and happy to help explore further if you want to share more information. Either way best of luck moving forward with things!

Thank you so much for your reply!

We are looking to have a project created in NetSuite any time a deal within HubSpot hits the “negotiation” phase, or any phase after. The goal is to hand off the deal/project as soon as it is a confirmed win but not necessarily closed. This way, we give our project team optimal time to start preparing.

Since we found there is no straight integration to projects, we are looking at the possibility of integrating from HS to NS operations and then having that trigger the creation of a project within NS projects. I’m not sure if this is the best way to go about it, but I know we are trying most things before the API route.

I will definitely be looking into your suggestions and any other information you have I will happily take!!

Hey @HBohler,

We use NetSuite and HubSpot and we recently created a method to create a 1:1 sync between the systems. First, we created a Custom Object called Projects in HubSpot that has many of the same properties as the NetSuite Projects entity. We then use Operations Hub to create programmable automations to sync HubSpot and NetSuite. We also needed to create a script within NetSuite to complete the integration for a true 2-way sync. Now in HubSpot, when a deal is marked as closed won, we have a workflow create the Project, assign it to a Project Manager, and sync to NetSuite for the finance team. There are several other things we do with the projects based on our use cases, like taking the approriate deal properties and copying them to the Project object so they are transferred to NetSuite for eventual syncs to our resource management tools.

Apologies for a late response! As HubSpot continues to make progress, we all find new solutions.

Good Luck!
