How to create Workflow Reports

Hi,

I am using multiple workflows for sending out Text messages using third party integrated with HubSpot CRM.

I have created Workflows based on Stages so I am sending out messages using different workflows.

I want to generate a report showing workflow name or description and its message contents are used for which List of contacts, this can be generated for any date range.

Right now my report does not show me Workflow name or description and name of the contact list, I can see the contact info and number of Text messages sent out with a date range but unable to find the variable for displaying Workflow name and its text contents.

Can anyone help me please.

Are you currently using custom properties within your workflows? This could be a good start to capture and store the relevant information such as Workflow name, description, and contact list names.

Yes, I am using Workflow name and Description along with unique Workflow ID, using one workflow for one Campaign. If I can find any variable of Workflow ID or Name which will be really helpful for me.

The issue now it that I am unable to generate report based on Workflow name or ID. I am also using Contact List.

Hey there @KAM2024 - I don’t see a way in reports to do exaclty as you’re asking. “Workflow name” doesn’t seem to be a property in the contact properties. I can see “enrolled in workflow” and the like, but not the name.

Here’s what I’m thinking though.

  • Build a list for each of your workflows (or a unversal list with each workflow as an “or” filter).
  • Build a Custom Report of Contacts
  • Add the Enrolled in Workflow property
  • Add the time filter of enrolled in the last [X] days
  • Add the List membership (with your lists) as a filter, choosing your list(s)
  • Add activities and include your SMS integration

I’m thinking this as a pivot table should allow you to see the contact records in one column, and the most recet SMS message in another column. That would show you the message they’ve received, if not the workflow name.

I’d also add your idea of seeing workflow name to the Ideas forum here. Give as much detail as possible, and maybe the product team will update reports to include workflow name as a property.

Add the Enrolled in Workflow property - this isn’t an option in the filters. Only Now in Workflow so I;m not sure how you did this?
