As a software company, we distribute software (large files up to 20GB) for our clients to download. As we also offer trial versions, having metrics such as who/when/how many times the files has been viewed/downloaded will be useful.
This way, we can tightly integrate our workflow with Hubspot, from lead generation, contacting, software deployment (trial), contract signing… and so on
This is similar to the available Documents feature that is presently available, but for larger files
Let me add, that it would be great if there is the option that files within the file manager have an option to be set to private (not in the current function) and linked to a list.
The combination of memberships and listings would increase security. Currently it seems, that if I get or guess the link to a file correctly (even if it is indexed), that I can view/download the file.
Current “private” setting needs an actual HubSpot Account and not just a registration by a customer for a certain company offer (for example the knoweldge base with resticted article access).
some security tool maker request large file tracking
This company want to know tracking log who access large file(firmware files etc)
Hi @russellkua, you can try out CloudFiles which does not limit file size and also connects doc views / downloads to workflows so you can create tight integrations. You can also upload any type of file so format does not matter.
Totally agree with the need here — the current file sharing options in HubSpot are limited, especially when it comes to sharing folders of documents securely and dynamically with clients, partners, or members.
If you’re looking for a solution today, we’ve built something specifically for this use case: the Box Connector by SparkGrid Software.
It allows you to:
- Share entire folders (not just individual files) through your HubSpot site
- Control access based on HubSpot contact properties or list membership
- Track file views and downloads for compliance or engagement
- Keep all files stored securely in your own Box environment — not HubSpot’s public file manager
- Embed folder views directly into HubSpot pages, portals, or emails
This is especially useful for:
- Client onboarding and document delivery
- Partner enablement hubs
- Member-only resource libraries
- Press kits and media centers
You can find it on the HubSpot App Marketplace: Box Connector by SparkGrid Software
It’s a great way to bridge the gap while we wait for native folder sharing features to evolve. Let me know if you’d like to see how others are using it!
