fields questions

I am excited about trying to get HubSpot all set-up and import everything well. I have a few questions.

1) Our companies have both actual addresses and mailing addresses. I would imagine others use both of these fields, as well. How do you do it? I only see street address and street address 2 for Companies and street address and address (line 2) for Contacts.

The zip code and potentially city could also be different for actual addresses and mailing addresses.

2) I have 2 or 3 e-mails for some of our contacts. I see Email and work email. Work email seems to be the back-up field, so when you import, email addresses naturally go to email. But most of what we are dealing with is work emails, so shouldn’t integrated imports go directly to work email?

Do you just copy all of the emails to work emails and then just add the 2nd email to email?

3) I find it very confusing to have fields with the same name for contacts and companies, such as phone # and street address. While setting up my first report, I have to rename these fields so I know what I’m looking at. Why not just have the names a little different to start with so we don’t have to manually change the name. Do we have to change the name anytime anyone wants to use those fields? Is there something I’m missing? Can we change HubSpot’s field names. I’ve searched and can’t find it.

Hi @PLusk, Went through with all of your queries and framed the suggestion step by step below. Please see and consider my words then you will get all the resolution for sure.

1. Regarding to adding both actual addresses and mailing addresses:
In HubSpot, you can add both an Actual Address and a Mailing Address to Companies, Contacts, and Deals. You can also add different zip codes and cities to each address.

To add an Actual Address and a Mailing Address to a Company, Contacts, or Deals, navigate to the record and click Edit in the upper right-hand corner. Scroll down to the address section and click the plus icon to add a new address. Enter the address information and select whether it is the Actual Address or the Mailing Address. You can add up to two addresses in total.

You can also add different zip codes and cities for both the Actual Address and the Mailing Address. To do this, enter the new zip code and city in the fields provided.

Once you have added both the Actual Address and the Mailing Address, you can view and manage both addresses in the record view.

To view both the Actual Address and the Mailing Address in the record view, select the dropdown arrow next to the address and select the address you want to view.

By adding both an Actual Address and a Mailing Address to Companies, Contacts, and Deals, you can ensure that you have the most accurate and up-to-date address information for each record.
2. Based on your question to integrating imports go directly to the work email:
When importing contacts into HubSpot, you should always choose the field that best represents the data you are importing. For example, if you are importing email addresses, you should choose to import them into the “Work Email” field instead of the “Email” field. This ensures that the data is mapped correctly into HubSpot and that the contacts are associated with the correct email address.

If you already have contacts in HubSpot with the same email address in both the “Email” and “Work Email” fields, you can either delete the entry in the “Email” field or just leave it as is.
3. The Last question was based on Can you change HubSpot’s field names?
Unfortunately, you can’t change HubSpot’s field names, as the field names are hard-coded into the platform. However, you can add custom properties to your contacts and companies to create fields with names that you prefer.
You can find more information on adding custom properties here: https://knowledge.hubspot.com/articles/kcs\_article/contacts/how-to-add-custom-properties-to-contacts.
Additionally, you can create custom field names on reports and dashboards that are easier to interpret.
Hope this is helpful! Cheers!

Thank you for your replies Syeda_Fatima. I have some follow-up questions.

1) I would love to know how to import new contacts & copanies and have those fields populated - so I need to know what those field names are because I cannot find them.

I can’t find that edit buton you were referring to but I’ll keep looking (Ah, I actually found it to the rt of the address field for contacts - but there is not one for companies.)

2) I found that the “Work Email” field is from a Facebook field but I think I can still import to it.

3) Thank you.

I do know how to add custom properties

Hi @PLusk, It’s really nice you already have an experience on “how to add custom properties” More on based on your raised concern, i tried to cover the best possible suggestion, please see:
1- The field names that you need to include when importing contacts and companies into HubSpot will vary depending on which fields you have set up in your account.
You can access the field names by going to Contacts > Settings > Properties > View all properties. The field names will be listed there, as you already know.

If you need to add new fields to be included in your import, you can again try to click the gear icon to the right of the field name and select ‘Edit property’. This will allow you to edit the property name, type, etc.

When you are importing companies, you can access the field names by going to Companies > Settings > Properties > View all properties. As with contacts, you can click the gear icon to the right of the field name and select ‘Edit property’ to add or edit properties.

2- And Yes! you can still import to the “Work Email” HubSpot field, even if the data is coming from a Facebook field. However, it is important to make sure that the data is formatted correctly in order to ensure it is imported correctly.
You may want to consider running a test import to make sure that the data is imported correctly before performing a full import.

I hope this helps!

First off, you’ll want to know the names of those fields, right? Because I can’t seem to find them either.

As for that edit button you mentioned, I couldn’t locate it at first, but hey, I found it on the right of the address field for contacts. Unfortunately, there isn’t one for companies.

Regarding the “Work Email” field, I noticed it’s from a Facebook field, but I reckon you can still import to it.

Good point to bring back up, because in 2025 HubSpot has evolved quite a bit with properties and imports.

Today you can still only rename custom properties, not HubSpot’s default ones, but the reporting layer now lets you create “display names” per report, which avoids the old confusion of duplicate labels across contacts and companies.

For addresses, the common pattern in 2025 is to add two custom property groups: one for Physical Address and one for Mailing Address, each with their own street/city/state/zip fields. That way you don’t overload “Address line 2” anymore, and both can be mapped during imports. On import, you just download the sample file first from the import screen so you see the exact field names HubSpot expects for companies vs. contacts

For emails, the platform still treats “Email” as the unique identifier for deduplication, but you can create additional email-type properties to store backups. If your organization always works with work emails, the cleaner approach in 2025 is to designate “Email” as the work email and use extra custom fields (Secondary Email, Personal Email, etc.) for anything else. That way deduplication rules stay consistent, and workflows or reports are more predictable

Hope this clears things up. In 2025 HubSpot has made progress, but managing multiple addresses or email identities still depends on structuring custom properties well from the start.
