Apologies if this question has beeb asked before. I am looking to create a workflow where I would like Hubspot to do the following - is this even possible:
1. Send out an information form that a potential client will sign (name, address, etc) electronically.
2. Once they sign it and the form is updated with all customer details, Hubspot is to use information provided and populate it into set fields in another document within Hubspot, a standard agreement template.
Thank you in advance for providing any insight you possible can.
Hi @05174, I hope that you are well!
Thank you for asking the Community!
And don’t apologize, we love to hear from you, even if it’s been asked before! We welcome all questions with pleasure
And that’s a great question by the way!
I’d like to ask clarifying questions to make sure we help you the best we can:
1. Regarding the form that will get e-sign, what will you use for that? A native HubSpot form where you add HTML code for that? A third-party app for the e-signature? At the moment, in HubSpot, you can use e-signature on quotes, not on forms.
2. Where has the form been added? Onto a HubSpot page? On an external page?
3. Is it this type of document? Or is the document hosted externally? How do you create this document?
4. I understand that you’d like to have the data from a form submission to be added onto a document. Is that correct?
5. Do you also want the e-signature to be stored in a HubSpot property so that it is then inserted into the document?
The more info, screenshots (without sensitive/confidential information), and details you can provide, the better the Community can assist.
I also wanted to invite a couple of subject matter experts to this conversation: Hi @karstenkoehler, @jolle and @HFisher7 do you have suggestions to help @05174, please?
Also, if anybody else has anything to add and/or share, please feel free to join in the conversation
Thanks a lot and have a wonderful day!
Best,
@05174 - Hey!
As @BérangèreL mentions, the more details you can provide on your use case the better..
If I was trying to achieve your output of having an eSigned standard agreement populated with relevant customer information using HubSpot functionality, I would:
- Create a the form with HubSpot’s form builder
- Create a workflow which is triggered by submission of the form to create a quote and automatically send to the potential client for eSignature (using a third-party app or custom-coded workflow action using the Quotes API)
- Create a second workflow triggered with the Quote is eSigned to send a standard template agreement.
Alternatively, you could consider a third-party solution. Personally I think Jotform is great, and their Smart PDF Forms should do the job you need AND integrates with HubSpot
Thank you for your replies. What a community this is!
So, it’s clearly a question of more than just using Hubspot, but also probably automating workflows using Hubspot and other resurces, while keeping costs down as much as possible.
So, I would build a form with an ID, asking their name, address, etc and share it with them to populate. Then, once they populate, I would like it to trigger the standard agreement template I would have on Hubspot (in this case an investor agreement). Details populated on the ID form would then go to certain sections/parts of the investment agreement and I would like an automation for that. Can OpenAI/chat GTP used for this or van Hubspot go into this level of detail?
Once these details are populated, I would then like the investor agreement to be shared, with all details now populated, to be signed. Once it is signed, I would then like the agreement to be populated in a database or my Google cloud, and then other documents that follow on, to be also sent for signature based on standard templates I would have prepared.
